Price Groups and Special Prices

If you want to be able to put different prices on your products depending on, for example, quantity or make special price lists for certain customers, you should use WebCRM's price groups.

Activate Price Groups

In order to activate price groups, you need to go to Configurations → Main settings → Data fields and locate the drop-down field Price group under Organisations.

Access Price Groups

Once activated, the price groups can be accessed from several places:

  1. Configurations → Drop down lists → Organisations → Price groups (pencil icon):

  2. Configurations → Custom fields → Products → Linked data (link ikon)→ Special prices (pencil icon):

  3. From the actual quotation line under Configurations → Custom fields → Products → Linked data (link ikon)→ List/Edit linked data (pencil icon) Choose the actual quotation line you would like to edit (pencil icon):

Create a new Price Group

Create a new list on the plus (+) and name the group:

Note: The Default (first on the list) group can not be deleted, but you can rename it.

All groups other than default group can have a base group (Based on). If some products are not added to the current group, their price will be taken from the base group.

However, groups do not need to have a base group, then if price is not added to the current group, it will be calculated using the exchange rate from product list price. The base group can be removed on the red x on the right side of the drop-down list.

Add products to Price group

You add products to a price group by clicking on the blue plus (+) and then choose your product from the drop-down that appears.

Now you can set specific prices or discounts for certain amounts of products - maybe you have negotiated certain prices for certain customers, and you can then set them here. This doesn't change anything regarding the list prices.

Note: The fields Currency and discount are only shown if they are enabled in the system.

The currency drop down is a filter and will show all prices configured for this specific currency. If you create a new line while the filter is activated, the new line will by default be set to this currency.

Assign Price Group to Organisations

Once activated, add the price group field on the organisation setup, and you can then choose a price group for the customers.

Go to the Fields tab → Actions → Edit setup:

Now you can choose which box of fields you want to edit (you can also drag in a new one), add a new field, and select Price Groups.

Click Add and Save, and then you’ll be able to see the new price group field on your organisations, where you can choose which price group they belong to.

Now, next time you create a quotation for this company, the prices will be taken from the price group they have been assigned.
