Do you need more knowledge of custom fields in webCRM and how to use them?

This section of the Configuration enables you to create and manage Custom fields in each module of the system.

You can access the Custom fields configuration screens by going to Configuration Custom fields

You will be asked to choose an option from the menu and choose the entity (Organisation, Acticity etc.) in which you want to create or manage Custom fields.

It is possible to create up to 15 Custom fields in each entity in webCRM (Organisations, Persons, Activities, Meetings etc.).

Furthermore, you have an additional 20 Custom fields, also called +Fields, for each entity, which has different configuration options. Read more about +Fields here.

Create a Custom field

In the below example, we are creating a Custom field to identify the Persons in the system, who have given their accept to receive our newsletter. Here we go to Configuration → Custom fields → Persons.

As shown below, we already have some Custom Fields, and therefore it is important, that we don't overwrite the existing fields.

The correct way to make sure this doesn't happen, is to use the next available and empty row of fields.

The first column to edit is Type. There are 9 field types to choose from, and you need to think carefully about which type you select because this cannot be changed without losing data once data is put into the system.

Here you choose the checkbox, because for this field, we do no need to have multiple options.

Now we can choose a position for the field, which indicates where on the Person card we can find this field. If you select the position with a prefix of ‘Hide’, then only users with permission to view and/or edit Hidden fields will be able to see this field. This is useful because you can specify a display order of mixed ‘hidden’ and ‘standard’ fields to provide a logical order for those users that can see both.

NOTICE: It's very important to be aware of the already used positions in Custom fields, and choose a position that is not already in use.

For this new field, we choose position 6. In Field label we give the field the name "Newsletter" and then choose a Mode for the field as well.

Save the settings of the custom fields, log out of webCRM and in again, and go to a person in the system to see the new checkbox we have just created

NOTICE: In order to see new fields and changes in the system, you usually have to log out of webCRM and in again, it is not enough to just close the browser.

You can now filter on the data from this Custom field, for example by creating Overviews for sending out newsletters.
