Custom fields: Organisations

Click on the gear icon → Configurations → Custom fields → Organisations. On all modules, you have the option to create 15 custom fields. You can set up the fields yourself as checkboxes, lists or something else from the list to the left.

Extra custom fields

On the Custom fields: Organisations screen, you can scroll to the bottom of the Custom fields section to see another group of fields which are only available for Organisation records.

These Extra fields can be used for Integration, Data import/updates, Website integration and more.

They are configured in a similar way to standard Custom fields or +fields, but they have different options.

NOTE: All extra Organisation custom fields are Data type: Text/Numeric

You must set the type of field you require:

  • Optional

  • Mandatory

  • Unique

  • Unique + Mandatory

The other options for Display order, Field name, Label and Instructions are exactly the same as Standard custom fields and +fields.

An example of using these fields would be to set a Unique ID field containing the ID for the customer Organisation in your Accounts package. If you use the API to integrate so that Data is synchronised, you must have a unique ID to match against, between the two applications.

These extra Custom fields will be placed at the top of the Organisation record screen, before the Standard custom fields and +fields.

Managing Duplicates when creating an Organisation

If you enter an Organisation name that already exists, the system will warn you by displaying a message at the top of the screen that the name already exists by default.

The default match criteria for duplicate Organisations is Organisation name + Division (if Division is enabled). You can amend the match criteria by Clicking on the gear icon → onfigurations → Custom fields → Organisations and then clicking the Duplicates icon.

Please be aware that the Name has to be exactly the same to generate a Duplication warning. Should you need to create the same Organisation name but for a different division or site, you can do this by entering the Division or Site name in the Division field.

For example you can enter a second Organisation called webCRM by entering UK in the Division field.

You could, for example, set the Duplicate control, accessed via The gear icon → Configuration → Custom fields → Organisations → Duplicates, to look at Organisation Name + Territory (if Territories are enabled) and this will allow each Territory to manage its own regional record for a global Organisation.

2nd Page fields

This option provides another set of fields specifically for Organisations, which are presented on a separate screen for the user and can be named as required. This 2nd page will appear as an additional tab on the Organisation Main view page.

The field selection available includes 8 Text fields, 8 Integer fields, 2 Date fields and 2 Memo fields.
