Managing e-mail addresses

Person Mailing Preferences

webCRM includes a simple fail safe to ensure that Persons who explicitly request not to receive your Broadcast emails, are not accidentally emailed. The system field Block mass emails prevents a Person from being sent a Broadcast email, even if they fit all the criteria in the Report you use to generate the Mailing list. Individual (personal) Emails can still be sent to this Person in the normal way.

NOTE: you do not need to add this field to the filters in your Report, the system automatically checks it as standard.

NOTE: Persons with status = Retired are also automatically blocked from mass Emails.

You can use the Block mass emails fields as a Mailing Preference which the Person is able to update themselves via a Landing page link on your Outbound emails page.

In order to exclude a Person from receiving any Emails at all (and to make sure that they cannot accidentally be emailed by a User) you should delete the Person’s Email address from the system Email field. If you need to keep a record of it, we recommend you create a custom field to hold the Person’s Email address instead.

Bounced e-mails

webCRM offers all Customers the ability to send mail via the powerful servers at Mailjet.

If an Email address ‘bounces’ the system will handle this appropriately: it can distinguish between Hard bounces and Soft bounces. Hard bounces are permanently failing Email addresses, whereas Soft bounce emails are temporary like “Out of office”. Hard bounced emails are noted as ‘bouncing’ email addresses directly on the Person record in webCRM.
