In this article we will go through which form you use for which purpose and how you set up the different fields and settings.


Create a Form

Find your forms in webCRM under Setup --> Forms.

You can edit existing forms or create a new one by clicking on the blue + (plus) in the top right corner.

💡Tip! If you have a newer system, you may already have forms for newsletter sign-ups and unsubscribing, which you can edit and use.

Mode

When creating a new form, enter the form's name (internal working title) and choose whether it should be public or private.

With a public form, you get a URL that can be shared, allowing anyone with the link to access the form.

Examples of public forms with a public URL:

  • Newsletter sign-up on your website

  • Course registration

  • Creating a support ticket

A private form can only be shared via a merge field in an email template and will be sent to individuals already created in webCRM, since these are used to edit their own data through a link.

Examples of private forms linkable in templates through merge fields:

  • Unsubscribe from the newsletter

  • Edit personal contact information

  • Provide feedback on the latest support ticket

Note: When creating a public form, some fields are created by default, and organization/company name and last name cannot be removed as they are mandatory for creating something new in webCRM.

General


1. Send

"Send" is the button used to submit data when the fields are filled out. You can rename it to suit the content of the form.

2. Content

In the content field, you can provide a description of the form, explaining what you want your customer to do or ask a question.

Drag the content field to where you want it and click on the pencil icon to write something.

In private forms, you can use merge fields in your description, such as the person's name or ticket number for a support case. When using merge fields, webCRM inserts the correct data each time.

Note: This feature is only available for private forms!

3. Image

Drag the image element into the form and then upload an image or enter a URL.

4. Field

The fields you can drag in here, can either be mapped to a field in webCRM or be a free-form field that can be written in without being saved in a webCRM field. However, what is filled in here will be shown in the log as a comment then.

You can also drag already mapped fields into your form if you pick them from entity fields, located just below:

Entity Fields

When setting up your form, simply drag the fields you want customers to fill out. When you drag them from here, they are already mapped to the fields in webCRM.

In a public form, these fields are already created and set as mandatory by default.

Organization and last name cannot be deleted.

Settings

Under Settings, choose what should happen behind the scenes.

1. Automatic Process

Choose whether the entered form data should be automatically created and saved in webCRM, or if you want to manually review the submitted forms (turn off Automatic Process).

2. Disable Link After

You can choose that the form is only available for a specific time period and can choose to disable it afterward, such as for a deadline registration.

For an "Unsubscribe from the newsletter" form, we recommend leaving it set to "Never Expires," which is the default.

3. Title

The title will initially be the same as the internal title of your form, but what is written under the title will be displayed in the browser when the form is shown, allowing you to change the public title here.

Submit action (Show Message or Redirect)

Here you write the message you want to display when a form is submitted.

Under Type, you can choose either Show Message or Redirect. If you choose Redirect, you can enter a URL to redirect the customer to.

Hidden Fields

Here, you can set up if something needs to be recorded in webCRM that the customer does not enter via the form, such as if an activity needs to be created, or some fields need to be marked on the organization or contact.

In the example below, I have chosen that, in addition to the mapped fields that my contact person fills out, the contact person's status should be set to active, and there should be no checkmark in the "Block mass emails" box.

The gray fields are those already mapped and shown in the form.

Mode

Additionally, under Mode, choose how webCRM should check for duplicates in your form.

There are the following options:

  • Find existing or create new, never update

    If the organization 'webCRM A/S' already exists, and a customer enters 'webCRM' in the form, this setting will locate 'webCRM A/S' and add the new information, contacts, activities, etc., under this organization, but will retain the name 'webCRM A/S' and other information that already exists for this organization without updating it.

  • Create new or update existing, if a matched

    If we look at the same example as above, 'webCRM A/S,' which already exists, will be replaced with 'webCRM' as the system finds a match and updates it. If no match is found, a new organization will be created

  • Always create new, don't try not to match with existing
    Here, 'webCRM A/S' will be ignored, and 'webCRM' will be created, as a new organization is always created. This means that both 'webCRM A/S' and 'webCRM' will now exist in the system

Add Entities

Below Organization and Person fields, it is possible to add more entities and their respective fields. These fields are still hidden fields, but once added here, they will also be visible under General as entity fields, already mapped and can be dragged into the form.

Note! Remember to enable your form before you can use it!

Note! If you have just created new custom fields, it may take up to 6 hours before you can update the fields via a form.

You can insert them into your form, but nothing can be entered and saved through the fields until after 6 hours.
