WebCRM's SharePoint Integration
Integrating SharePoint with your WebCRM will give you access to specific Sharepoint folders and documents on specific organisations in WebCRM and make sure you have access to all your customer information in one place.
Connect your personal SharePoint account
Do you want to connect a global SharePoint account? See the bottom of this guide.
See, in the video here, how you set it up the link to your personal SharePoint account:
1. In order to connect your personal SharePoint account to WebCRM, you first go to Organisations and select the organisation you want to connect with SharePoint.
2. Click on the tab External documents. You will only see this tab if your SharePoint integration is already active.
3. Click Select folder. If you haven't connected your Microsoft account yet, you'll see a notice that no account is connected.
4. Click Open settings to access the External Credentials Settings.
5. In the settings window, you will need to sign in with your Microsoft account if prompted by this message when you try to activate the For Files toggle.
6. After signing in, activate the For Files toggle and click Save.
7. Now, click Select folder again. This will display your SharePoint folders.
8. Choose the folder you want to use and click Select. Your SharePoint folder is now linked to this organisation.
Change and unlink SharePoint Folders
You can view your linked SharePoint folders directly in WebCRM, or open them in SharePoint from here.
Note: External documents are not stored or saved in WebCRM, they are just linked and shown directly from SharePoint, so you can not edit directly in webCRM.
To change the connected folder, click Change folder and select a new one. - To unlink the folder, click the unlink icon and confirm by selecting Unlink.
Permissions
Permissions to view certain folders and files are managed in SharePoint.
All WebCRM users can link their account, but only admins can link a global SharePoint account.
If there are some files the global account can access, but the user can't - user will not see them in webCRM
If there are some files, the global account can not access, but the user can - the user will be able to see them in webCRM.
Note: If you only link to a global account, all folders connected to all organisations will be visible to all users (the folders that the global account has access to in SharePoint).
Link Global Account
In order to link a global SharePoint account, you go to Configurations → Integration → External Credentials → Mailservice login (log in here if with the account if you aren't already logged in) → Sync and activate the toggle For Files.
Admins can also access the setup here.
If an account selected for files here, all users will be able to see files accessible to this account.
Link Personal Account
When linking a personal account, other users will not be able to access this account, and they need to connect their own (if a global one is not connected).
If each user connects their own account, they will only see the folders that they have access to in SharePoint. This overrides the global account, if both global and individual are connected.
Linking access in WebCRM
While access to view files is managed by Sharepoint, access to link a folder to an organisation is managed in webCRM.
Note: Only users with edit access to the organisation will see the "Select folder", and the "Change folder" and the "Unlink" buttons when the folder is linked.
Users without a connected account will only see "Unlink" button, if they have edit access to the organisation.
