Overview
Your calendar is the backbone of your event business. Every consultation, site visit, and wedding day needs to live in one place — and Wedy Pro makes that happen by syncing directly with your Google Calendar or Outlook Calendar through a secure integration. Once connected, events flow both ways: appointments you create in Wedy Pro appear on your personal calendar, and existing commitments from your personal calendar appear in Wedy Pro so you never double-book.
Calendar sync also powers the Schedulers feature. When prospective clients book a consultation through your embedded scheduler, Wedy Pro checks your connected calendar for conflicts and only shows time slots when you are genuinely available. Without a connected calendar, the scheduler cannot verify your availability.

Why sync your calendar with Wedy Pro
Calendar integration connects your scheduling workflow to the rest of your CRM. Without it, you would need to manually cross-reference your personal calendar with your Wedy Pro commitments every time a client asks about availability. Here is what you gain by connecting:
Avoid double-booking. When a client requests a Saturday wedding consultation, Wedy Pro already knows you have a ceremony that afternoon. Your connected calendar feeds availability data into the platform so conflicts are caught automatically — not after you have already sent a confirmation.
Two-way event sync. Meetings you create in Wedy Pro appear on your Google or Outlook calendar. Events you add directly to your personal calendar appear in Wedy Pro's Calendar view. Both calendars stay in lockstep without manual copying.
Power your Schedulers. The Schedulers feature — embeddable booking widgets you place on your website — relies on your connected calendar to display accurate availability. Clients see only the time slots that are genuinely open, preventing scheduling conflicts before they start.
Centralized Calendar view. Wedy Pro's built-in Calendar page aggregates project events, scheduler bookings, meetings you create, and external events synced from Google or Outlook — all in one view with Month, Week, Day, and Year layouts.
Context at a glance. Calendar events linked to Leads and Projects are connected directly to those records. Click a project event to jump to the Project, or view upcoming meetings from the Lead's Meetings tab.
Supported calendar providers
Wedy Pro supports two calendar providers through a secure, enterprise-grade integration. The connection uses OAuth — you authorize directly with Google or Microsoft, and Wedy Pro never sees or stores your calendar password.
Google Calendar — Personal Gmail calendars and Google Workspace (formerly G Suite) calendars. This is the most common choice for event professionals. If you already connected your Gmail for email, your Google Calendar may use the same account.
Microsoft Outlook Calendar — Outlook.com, Microsoft 365, and Exchange calendars. If your business runs on Microsoft's ecosystem, this is your path.
How to connect your calendar
To connect your calendar to Wedy Pro, navigate to the Integrations page and authorize the connection through a secure OAuth flow. You will not need to enter your calendar password into Wedy Pro — authorization happens directly with Google or Microsoft.
Click Account in the sidebar, then select Integrations from the submenu.
In the Calendar section, click Connect Calendar.
An authorization window appears. Select your calendar provider (Google or Microsoft) and sign in when prompted.
Review the permissions Wedy Pro is requesting — access to read and write calendar events — and click Allow or Grant Access to authorize.
The authorization window closes and you are returned to the Integrations page. Your connected calendar now appears, confirming the sync is active.
Quick access from your dashboard: If you have not connected a calendar yet, your Home dashboard displays a Set Calendar button in the quick-action bar at the top of the page. Clicking it takes you directly to the Integrations page where you can begin the connection flow.
Connect Google Calendar
Google Calendar is the most popular choice among event vendors. If you already connected Gmail for email sync, you may be able to use the same Google account for your calendar — though the calendar connection is authorized separately.
Navigate to Account > Integrations in the sidebar.
In the Calendar section, click Connect Calendar.
In the authorization window, select Google as your provider.
Sign in with your Google account. If you have multiple Google accounts, choose the one that holds your primary business calendar.
Google displays a consent screen. Click Allow to grant Wedy Pro read and write access to your calendar events.
The window closes and your Google Calendar appears as connected on the Integrations page.
If you use Google Workspace with a custom domain, the process is identical. The secure integration handles Workspace calendars the same way it handles standard Google accounts.
Connect Outlook Calendar
If your business email and calendar run through Microsoft, connect your Outlook Calendar with the same OAuth flow.
Navigate to Account > Integrations in the sidebar.
In the Calendar section, click Connect Calendar.
In the authorization window, select Microsoft as your provider.
Sign in with your Microsoft account credentials. If your organization uses multi-factor authentication, complete the verification step.
Review the requested permissions and click Accept.
Your Outlook Calendar now appears as connected on the Integrations page.
This works for Outlook.com personal accounts, Microsoft 365 business accounts, and Exchange-based calendars.
Sync direction: two-way by default
Wedy Pro uses two-way (bidirectional) sync by default — there is no need to configure sync direction. Events flow both ways automatically once connected. Appointments you create in Wedy Pro appear on your Google or Outlook calendar, and events on your external calendar appear in Wedy Pro's Calendar view. This keeps both calendars in lockstep without any manual configuration or preferences to set.
How calendar sync works in Wedy Pro
Once connected, calendar events flow bidirectionally between Wedy Pro and your external calendar. Here is exactly what syncs and how:
From your external calendar into Wedy Pro:
Existing events on your Google or Outlook calendar appear in Wedy Pro's Calendar view as external events. These events block out availability in your Schedulers, preventing clients from booking during times you are already committed.
New events you add directly to Google or Outlook after connecting also sync into Wedy Pro.
From Wedy Pro into your external calendar:
Meetings you create in Wedy Pro appear on your Google or Outlook calendar.
Scheduler bookings — when a client books a consultation through your embedded scheduler — automatically create calendar events that sync to your external calendar.
Project-related events linked to your calendar sync outward so you see client commitments alongside personal appointments.
How events appear in the Wedy Pro Calendar
The Calendar page in Wedy Pro (accessible from the sidebar) aggregates all your events into a unified view with Month, Week, Day, and Year layouts. Events come from four sources:
Project events — Linked to a specific Project in your CRM. Click to jump directly to the Project detail page.
External events — Synced from your Google or Outlook calendar. These block availability in your Schedulers automatically.
Meetings — Created within Wedy Pro from the Calendar page or from within a Lead or Project record.
Scheduler bookings — Appointments booked by clients through your embedded Scheduler widget.
All four event types appear together, giving you a complete picture of your schedule without switching between apps.
Project events include your client's event date — the wedding day, engagement session, or event — displayed prominently alongside your meetings and consultations so you can see both preparation appointments and the main event at a glance. This makes it easy to track how close the big day is while managing your day-to-day schedule.
Calendar and Schedulers: how availability works
The Schedulers feature lets you create embeddable booking widgets that clients use to schedule consultations directly from your website. Your connected calendar is what makes this work — when a client selects a date, Wedy Pro checks your calendar for conflicts and hides unavailable slots. This means:
A wedding on your Google Calendar blocks that day from your scheduler automatically.
A meeting in Wedy Pro for Tuesday at 2 PM removes that slot.
Personal appointments (dentist, school pickup) also block those times, keeping work and personal schedules in harmony.
Without a connected calendar, Schedulers cannot detect conflicts. Connecting your calendar before creating a Scheduler is strongly recommended.
How to disconnect or change your calendar
If you need to switch to a different calendar account or disconnect the sync entirely:
Navigate to Account > Integrations in the sidebar.
In the Calendar section, click Disconnect next to your connected calendar.
Confirm the disconnection when prompted.
To connect a different calendar, click Connect Calendar again and authorize with your new account.
Disconnecting your calendar does not delete meetings or events already created in Wedy Pro. However, new events will no longer sync between platforms, and your Schedulers will lose the ability to check availability against your external calendar. Reconnect as soon as possible to restore full functionality.
Troubleshooting common calendar sync issues
The authorization popup does not appear.
Your browser may be blocking the popup window. Allow popups for wedypro.ai in your browser settings and try again. If you use a browser extension that blocks popups, temporarily disable it during the connection process.
Events from my external calendar are not showing in Wedy Pro.
Calendar sync can take a few minutes to fully populate after the initial connection. If events still do not appear after five minutes, try disconnecting and reconnecting from Account > Integrations. Also verify that the events exist on the specific calendar account you connected (not a different Google or Outlook account).
My calendar disconnected unexpectedly.
This can happen if you change your Google or Microsoft password, revoke Wedy's access from your account security settings, or if the authorization token expires. Return to Account > Integrations, click Connect Calendar, and re-authorize.
Scheduler still shows me as available when I have events.
Verify that your calendar is connected on the Integrations page. Then check that the conflicting event is on the same calendar account you connected to Wedy Pro — if you have multiple Google calendars (personal, work, shared), only the primary calendar of the connected account is synced. Also confirm that the event is not set to "free" in Google Calendar, as "free" events may not block availability.
Frequently asked questions
Does Wedy Pro store my calendar password?
No. Wedy Pro uses OAuth authorization, meaning your calendar provider handles authentication directly. Wedy never sees or stores your password. You can revoke access at any time from your Google or Microsoft account security settings.
Can I connect more than one calendar?
Wedy Pro supports one calendar connection per user account. If you have team members, each team member connects their own calendar from their own Account > Integrations page. Each team member manages their own calendar connection independently through their individual login.
Do I need to connect both email and calendar separately?
Yes. Even if your email and calendar use the same Google or Microsoft account, the email and calendar integrations are authorized separately on the Integrations page. This gives you control over which services are connected.
Will connecting my calendar share my personal events with clients?
No. Your personal calendar events are only used internally by Wedy Pro to display your schedule and check availability for Schedulers. Clients never see the details of your personal events — they only see which time slots are available or unavailable when booking through your Scheduler.
What happens if I skip calendar setup?
You can use Wedy Pro without a connected calendar, but the Calendar view will only show events created directly in Wedy Pro (not your external commitments). More importantly, the Schedulers feature will not be able to check your real availability, which means clients could book times when you are already committed. Connecting your calendar is strongly recommended as one of your first setup steps.
