Send form entries to Notion

Every form entry on your WeInc site adds a page to a Notion database.

Written by Umair Ali

Connect Notion to your WeInc site and every form entry becomes a new page in a Notion database.

What it does

  • Every entry from every form on the site adds a new page to the database you choose. No opt-in or email address is needed.

  • The page title is "New <form name> entry from <name>", using the visitor's name, or their email if there is no name. It goes in the database's title column, which WeInc expects to be called Name unless you tell it otherwise.

  • The page body lists every field the visitor filled in, one per line, followed by the site name, form name, the time it was sent and the page it came from.

  • WeInc does not fill in other database columns. Only the title and the page body are written.

Two ways to connect

  • Connect with Notion (easiest): sign in to Notion and approve WeInc. You don't copy any keys. WeInc renews the sign-in for you in the background.

  • Use a key instead: paste a key you create in Notion yourself. Use this if you prefer keys, or if you don't see the Connect with Notion button.

Your Notion sign-in belongs to your WeInc account, so once you've connected, you can reuse it on your other sites without signing in again.

What you need from Notion

  • A database for the entries. With Connect with Notion, Notion asks which pages to share with WeInc. Tick the database (or a page that contains it).

  • Title column name (optional, either way): only needed if your database's title column is not called Name. Type its exact name.

  • Internal integration secret (key method only): create an internal integration at Notion integrations and copy its secret (it starts with ntn_ or secret_). Then open the database in Notion, click ··· > Connections and add your integration. Notion's guide: Create a Notion integration.

  • Database ID (key method only): the 32-character code in the database's link, before any ?v=.

What WeInc can access

With Connect with Notion, WeInc can only see the pages and databases you share with it on Notion's approval screen. It asks for read content (to list your databases) and insert content (to add pages). It does not ask to update existing content and gets no user information, such as email addresses.

Where to set it up

Form connections live in the builder, in the Analytics panel. Open your project, click the ··· (More panels) button in the top bar and choose Analytics. Scroll to Form submissions. Below it is a section called Send entries to.

The Analytics panel only appears in full once your site is published, so publish first. Only the project owner can add or change these connections.

Connect it

With Connect with Notion

  1. Under Send entries to, open the Add a destination… menu and choose Notion.

  2. Click Connect with Notion. Notion opens and asks you to approve WeInc. Approve it.

  3. You come back to the builder. If the form has closed, choose Notion in Add a destination… again. It now says Connected to <your Notion account>.

  4. Pick your database in the Database menu. If it says No databases shared yet., click Share a database and tick the database in Notion.

  5. If your title column is not called Name, fill in Title column name.

  6. Click Save. The connection appears in the list with the On box ticked.

With a key

  1. Choose Notion in Add a destination…, then click Use a key instead.

  2. Fill in the Internal integration secret, Database ID and, if needed, Title column name.

  3. Click Save.

To switch back from the key fields, click Connect with Notion instead.

Test it

Click Test next to the connection. WeInc sends a sample entry, and when it works you see Test entry sent. and a page called "New Contact entry from Test Person" appears in your database. Delete it afterwards.

If something goes wrong

Each saved connection has a dot next to its name: blue means the last send worked, red means it failed, grey means it is paused. The last error is shown under the name.

  • "<field> is required" or "<field> doesn't look right" when saving: a value is missing or not in the expected format. Copy it again, with no extra spaces or characters.

  • "Notion is no longer connected. Reconnect it in the forms panel.": you used Connect with Notion and WeInc can no longer sign in to Notion for you (for example, access was removed in Notion). Remove the connection, choose Notion again and click Connect with Notion.

  • "Access refused (401)" or "(403)": Notion did not accept the key or sign-in. With a key, create a new one. With Connect with Notion, WeInc renews the sign-in and tries once more by itself; if it is still refused, connect again.

  • "Paused: the key was refused three times." If real form entries are refused three times in a row, WeInc pauses the connection so it stops failing. Test sends do not count toward this. Click the bin icon to remove it, then add it again (with a new key, or by clicking Connect with Notion).

  • "Name is not a property that exists" or a similar Error 400: the title column has a different name. Remove the connection and add it again with the right Title column name.

  • Error 404: Notion can't find the database, usually because it isn't shared with WeInc (or with your integration, if you used a key). Share it, then test again.

WeInc tries each send twice (one retry after a short pause) and waits up to 8 seconds for Notion to answer. The entry is always kept in Form submissions either way, so nothing is lost if a send fails.

Saved keys and settings can't be viewed or edited later. To change a value, remove the connection and add it again.

Pause or disconnect

  • Pause: untick the On box next to the connection. It shows Paused and nothing is sent until you tick it again.

  • Disconnect: click the bin icon (Remove). WeInc deletes the saved settings and any saved key. Anything already in Notion stays there.

To fully revoke access, also remove WeInc in Notion under Settings > Connections, or remove your internal integration from the database if you used a key. Any connection still using it will then fail and pause after three refused entries. The same Notion connection is also used if you start a site from a Notion page.
