Send form entries to Pipedrive

Every form entry on your WeInc site creates a person and a lead in Pipedrive.

Written by Umair Ali

Connect Pipedrive to your WeInc site and every form entry becomes a new person and lead in your Pipedrive account.

What it does

  • Every entry from every form on the site creates a new person in Pipedrive. No opt-in is needed.

  • The person's name comes from the form's name field (or first and last name fields). If there is no name, the email is used, and if there is neither, the person is called "Website visitor". The email and phone number are added to the person when the form has them.

  • A new lead is created for that person, titled "New <form name> entry from <name>".

  • A note is added to the lead listing every field the visitor filled in, followed by the site name, form name, the time it was sent and the page it came from.

  • WeInc always creates a new person. It does not look for an existing one first, so a repeat visitor can appear twice.

Two ways to connect

  • Connect with Pipedrive (easiest): sign in to Pipedrive and approve WeInc. You don't copy any keys. WeInc renews the sign-in for you in the background.

  • Use a key instead: paste a key you create in Pipedrive yourself. Use this if you prefer keys, or if you don't see the Connect with Pipedrive button.

Your Pipedrive sign-in belongs to your WeInc account, so once you've connected, you can reuse it on your other sites without signing in again.

What you need from Pipedrive

  • With Connect with Pipedrive: nothing else. You choose the Pipedrive company when you approve WeInc.

  • API token (key method only): in Pipedrive, click your profile picture > Personal preferences > API and copy the token (40 characters). Pipedrive's guide: How to find the API token.

  • Company domain (key method only): the part of your Pipedrive address before .pipedrive.com. For acme.pipedrive.com, type acme.

What WeInc can access

With Connect with Pipedrive, WeInc asks for access to contacts (people and notes) and leads only. It uses them to add the person, lead and note for each entry. It does not ask for deals, activities or other parts of your account.

Where to set it up

Form connections live in the builder, in the Analytics panel. Open your project, click the ··· (More panels) button in the top bar and choose Analytics. Scroll to Form submissions. Below it is a section called Send entries to.

The Analytics panel only appears in full once your site is published, so publish first. Only the project owner can add or change these connections.

Connect it

With Connect with Pipedrive

  1. Under Send entries to, open the Add a destination… menu and choose Pipedrive.

  2. Click Connect with Pipedrive. Pipedrive opens and asks you to approve WeInc. Approve it.

  3. You come back to the builder. If the form has closed, choose Pipedrive in Add a destination… again. It now says Connected to <yourcompany.pipedrive.com>.

  4. Click Save. The connection appears in the list with the On box ticked.

With a key

  1. Choose Pipedrive in Add a destination…, then click Use a key instead.

  2. Fill in the API token and Company domain.

  3. Click Save.

To switch back from the key fields, click Connect with Pipedrive instead.

Test it

Click Test next to the connection. WeInc sends a sample entry, and when it works you see Test entry sent. and a person called "Test Person" (email test@example.com) with a lead called "New Contact entry from Test Person" appears in Pipedrive. Delete them afterwards.

If something goes wrong

Each saved connection has a dot next to its name: blue means the last send worked, red means it failed, grey means it is paused. The last error is shown under the name.

  • "<field> is required" or "<field> doesn't look right" when saving: a value is missing or not in the expected format. Copy it again, with no extra spaces or characters.

  • "Pipedrive is no longer connected. Reconnect it in the forms panel.": you used Connect with Pipedrive and WeInc can no longer sign in to Pipedrive for you (for example, access was removed in Pipedrive). Remove the connection, choose Pipedrive again and click Connect with Pipedrive.

  • "Access refused (401)" or "(403)": Pipedrive did not accept the key or sign-in. With a key, create a new one. With Connect with Pipedrive, WeInc renews the sign-in and tries once more by itself; if it is still refused, connect again.

  • "Paused: the key was refused three times." If real form entries are refused three times in a row, WeInc pauses the connection so it stops failing. Test sends do not count toward this. Click the bin icon to remove it, then add it again (with a new key, or by clicking Connect with Pipedrive).

  • "Pipedrive did not say which account to use. Reconnect Pipedrive.": remove the connection and connect Pipedrive again.

  • Other errors (for example "Error 404"): with a key, usually a wrong Company domain. Check it, then remove and re-add the connection.

WeInc tries each send twice (one retry after a short pause) and waits up to 8 seconds for Pipedrive to answer. The entry is always kept in Form submissions either way, so nothing is lost if a send fails.

Saved keys and settings can't be viewed or edited later. To change a value, remove the connection and add it again.

Pause or disconnect

  • Pause: untick the On box next to the connection. It shows Paused and nothing is sent until you tick it again.

  • Disconnect: click the bin icon (Remove). WeInc deletes the saved settings and any saved key. Anything already in Pipedrive stays there.

To fully revoke access, also uninstall WeInc in Pipedrive (under Tools and apps > Marketplace apps), or create a new API token if you used one. Any connection still using it will then fail and pause after three refused entries.
