🔐 Step 1: Assigning Unique PIN Codes to Team Members
To get started:
Go to the Team Members section in your admin dashboard.
Select a team member and click Edit.
Assign a unique 4-digit PIN code to each staff member.
⚠️ Note: PIN codes are unique per branch. You cannot assign the same PIN to two team members in the same branch.
📲 Step 2: Clocking In and Out
Once PIN codes are assigned, your staff can start using the Clock In/Out feature from a tablet or mobile device.
Here’s how it works:
On the device, tap the menu/navigation icon.
Select Clock In/Out.
Staff enters their PIN code.
A selfie is captured for verification.
The system records the Clock In time.
Staff can also record Breaks or Clock Out using the same interface.
👀 Step 3: Timesheet Review & Approval
Admins can view all recorded sessions:
Go to the Team Members section.
Click on Timesheets.
You’ll see the logged Clock In/Out times and breaks.
Review and approve each entry to confirm the hours worked.
✅ Approved entries are saved to the system and used for reporting/payroll.
💡 Pro Tips
Make sure the device has a working front camera to capture selfies.
Encourage staff to clock in at the start of their shift and out at the end, including any breaks.
Regularly review timesheets to avoid backlog and ensure accurate tracking.
Check the Timesheet Activity Log to see who approved or edited each timesheet for transparency and accountability.
