Make it look familiar and match your company branding

Branding your Whale workspace helps your team feel right at home. By customizing the look and feel of the platform with your company’s name, logo, colors, and even terminology, you make it easier for colleagues to adopt and engage with Whale. A well-branded workspace not only builds internal trust—it also supports smoother change management by aligning the tool with your team’s daily habits and visual identity.

Admins can manage these settings under two main sections: General and Branding.


⚙️ General Settings

Step 1: Access Workspace Settings

  • Click the workspace icon in the bottom-left corner.

  • Select Settings.

  • Navigate to the General tab.

Step 2: Company Details

  • Name & Logo

    Update your company name and upload your logo for full workspace personalization.

Step 3: Security / Login Options

  • Choose how team members log in:

    • Email & Password

    • Google SSO

    • Microsoft SSO

Step 4: Terminology

  • Customize platform terms to fit your team’s language.

    You can rename:

    • Boards

    • Libraries

    • Playbooks

    • Cards

🧠 Example: Rename “Libraries” to “Departments” if that’s how your team is structured internally.


🎨 Branding Settings

Step 1: Open the Branding Tab

  • Still under Settings, switch to the Branding tab.

Step 2: Customize Workspace Appearance

  • Colors & Fonts

    Set your brand’s primary color and select your preferred font.

  • Paragraph Styles

    Adjust headings, body text, and spacing to match your internal formatting style.


Custom Dashboard Header

  • Give your colleagues a warm welcome with a personlized message.

    • Title

    • Subtitle

  • Ideal for company taglines, or team-specific greetings.


🤖 Personalize the AI Assistant (Alice)

You can make the built-in AI assistant feel like part of your company:

  • 🏷 Change the name (e.g. “OpsBot” or “Support Genie”)

  • 🖼 Generate or upload a custom avatar

  • ✍️ Write a custom greeting

  • 📧 Add a fallback support email when no answer is found

🔁 Note: Once you generate an avatar, you can’t restore the original—but you can always upload a new image or generate another one.


📄 Custom Export PDF Header

Make exported documentation look professional and on-brand:

  • Add a custom header and company watermark

  • Change the logo and color scheme

  • Use shortcodes like {{title}} to dynamically insert content (or remove them if not needed)

✂️ Don’t want the document title to appear? Just delete the {{title}} shortcode from the header template.


Customizing Whale to reflect your brand doesn’t just make it look better—it helps your team work better. A familiar environment reduces onboarding friction and keeps your documentation platform aligned with your company culture.
