Creating and editing content in a card

In Whale, a card is a building block for onboarding, training, and knowledge sharing. Cards contain the content your team needs to stay aligned — from SOPs and step-by-step instructions to policies, videos, and embedded resources. Whether you’re creating new content or pulling in existing documentation, cards help turn scattered information into a structured, centralized source of truth.


How to Create a Card in Whale

Option 1: Create anywhere

You can also create a new card from anywhere in your workspace using the Create Anywhere shortcut — perfect for capturing ideas on the fly.

Option 2: From Within a Playbook

  1. Navigate to the playbook where you want to add the card

  2. Click “Create Card”

  3. Choose to start from:

    • A predefined template, or

    • A blank card to build from scratch

You’ll now be in the card editor, where you can format and enrich your content.


Formatting and Adding Content

Inside the card editor, you can:

  • 🖋️ Style text: Set fonts, sizes, colors, bold, italic, underline

  • 📦 Add elements:

    • Paragraphs and headings

    • Horizontal lines

    • Code blocks

    • Tables

    • Emojis and Font Awesome icons

  • 🖼️ Insert media:

    • Upload images or videos (up to 200MB)

    • Embed via URL or code

    • Link to Google Drive, OneDrive, or upload files directly

  • 📹 Record a video (with or without audio) directly into your card

  • 🌐 Embed iFrame content, like a Google Map or another card

💡 Pro Tip: Click “Advanced Edit” on an image to annotate it with arrows or text in custom colors.

✏️ Editing an Existing Card

To update any card:

  1. Open the card

  2. Click the blue edit icon in the top-right corner

  3. Make changes using the full content editor

  4. Click Save when you’re done


💡 Tip: Pasting Without Formatting

If you’re pasting content from tools like Word, Google Docs, or websites, formatting may carry over inconsistently. To avoid this:

  • Windows: Ctrl + C → Ctrl + Shift + V

  • Mac: Cmd + C → Cmd + Shift + Option + V

This pastes plain text so you can style everything directly in Whale.
