Changing your Whale subscription

Updated this week

Whether your team is growing, scaling back, or simply reevaluating how you use Whale, it’s easy to manage your subscription. You can upgrade, downgrade, or cancel directly from the billing settings. And if your situation is more complex or you’re unsure what plan suits you best, your Customer Success Manager (CSM) or the Whale support team is always here to help at support@usewhale.io.

How to Change Your Whale Subscription

Step 1: Open Billing Settings

Go to your Workspace Settings and navigate to the Billing section.

Step 2: Select “Change” Next to Your Current Plan

You’ll see your current subscription details. Click Change to modify your plan.

Step 3: Choose One of the Following Options:

  • 🔼 Upgrade — Move to a plan with more features or capacity.

  • 🔽 Downgrade — Switch to a more lightweight plan that better fits your needs.

  • Cancel — End your subscription - keep using your workspace till your initial renewal date as it won't renew after.

(Note: If you’re on the Forever Free plan, there's not need to contact us. Your subscription will be deleted after 90 days of inactivity as you can't cancel your workspace in the billing section.)

Step 4: Confirm Your Selection

Follow the on-screen prompts to confirm your plan change or cancellation.

If you’re unsure or want to explore alternatives, feel free to pause here and reach out to support — downgrading instead of canceling might be the right solution.

Downgrading to the Forever Free Plan

To be eligible for the Forever Free plan:

  • 👥 Your workspace must have no more than 5 users

  • 📋 You must have only 1 board

If your workspace exceeds these limits, the downgrade won’t be possible until you adjust accordingly. To prepare for the downgrade, consider consolidating your content into a single board to adhere to the one-board limit of the Free plan. Additionally, review your workspace's user list to ensure no more than five users remain. Any adjustments above these limits must be resolved prior to initiating the downgrade.

Tips for a Successful Downgrade

To ensure a smooth transition when downgrading to the Free plan, consider the following tips:

  • Back Up Important Data: Save a backup of your key documents and files to a secure location such as cloud storage or a local drive.

  • Communicate with Team Members: Inform your team about the planned downgrade and its implications, like reduced access or removal of certain features.

Important Notes

  • 🟡 Retired Essentials Plan

As of September 23, 2024, the Essentials plan is no longer available to new customers. If you’re currently on Essentials, nothing changes for you — but if you upgrade or downgrade, you won’t be able to return to this plan.

  • 💳 Refund Policy

Whale does not offer refunds, as stated in our Terms & Conditions. If you have questions about your billing, we’re happy to assist.

Still Deciding?

If you’re unsure about next steps or want to get more out of Whale, don’t hesitate to contact your CSM or email support@usewhale.io. We’re confident we can find the best solution for your team — even if it means scaling down rather than stepping away.
