Every clinic has lines it writes the same way every time — the medication and dose behind "the ear drops", the vaccination spiel, the standard workup discussion for an itchy dog. Clinic Standards lets you teach these to Whippet once, for your whole practice: describe when a standard applies and what the note should say, and the AI brings it in whenever that situation comes up in a consult.
For example, if your clinic's ear drops are always Auracol, you can say "the ear drops" while recording and your note will read Auracol 0.7ml instilled into the ear canal — in your clinic's exact wording.
Standards are shared: anyone in your practice can add them, and they apply to everyone's notes.
Adding a standard
Open Clinic Standards from your dashboard (under Note Generation).
Click Add standard. Whippet asks What do you want to teach the AI? — pick A medication or product line, A standard paragraph, or Start from scratch. The first two pre-fill the form with a working example you can edit.
Fill in the three parts:
Give it a name — a label for the list, like Vaccination spiel.
When you say something like... — describe the situation in your own words, for example "Any consult where a vaccination is given". The AI understands the situation, so you don't need to list every phrase — "booster", "C5", and "vaccinated her" will all match a vaccination standard. Do mention any shorthand your team uses, like "the ear drops", so it knows what you mean.
Your notes should say... — the content, exactly as your clinic writes it. A single line or whole paragraphs.
Click Save.
Leaving blanks for the AI to fill in
Some details change every consult — the dose, the ear, the next due date. Rather than writing them into the standard, click a button under the content box (+ dose, + duration, + date, + left/right, + vaccine, + site) to insert a highlighted blank at your cursor.
When the note is written, the AI fills each blank from what was actually said in the consult. If a blank's value wasn't said, the note shows [not stated] in its place — the AI never guesses a dose, date, or site, so anything it couldn't hear is flagged for you to complete while editing.
Exact wording or let the AI adapt
Each standard has a Keep wording exact switch, and the preview in the dialog shows you the difference as you write:
On (the default) — the content is reproduced word-for-word, with the same layout in every note. The AI's only freedom is filling the blanks. Best for medication lines and anything you want identical across the whole practice. These show an exact wording badge in the list.
Off — the AI treats your content as the preferred substance and style, and adapts it to what actually happened in the consult. Best for things like a standard differentials discussion, where the wording should flex with the case. These show an AI adapts badge.
Trying it out
The Test your standards panel beside the list gives a quick feel for the idea: type something you might say during a consult and it shows which of your standards would apply. It's a simple simulation — in a real consult the AI matches your standards in context and places the content where it belongs in the note.
The real test is your next consult: record one where a standard's situation comes up, and check the note.
Editing, pausing, and deleting
Click the pencil icon on a standard's row to edit it. Changes apply to notes generated from then on.
Use the switch on the row to turn a standard off without deleting it — it dims, shows a disabled badge, and the AI ignores it until you switch it back on.
Click the bin (trash) icon to delete it permanently — Whippet asks you to confirm first, because standards are shared with your whole practice.
If something goes wrong
A standard didn't appear in a note. The AI only applies a standard when the consult clearly shows its situation occurred — mentioning the topic in passing (say, noting vaccinations are up to date during a sick-pet visit) deliberately doesn't trigger it. If it should have applied, make When you say something like... more specific about the words your team actually uses.
A standard appeared when it shouldn't have. Tighten the situation description — say when it doesn't apply, for example "only when a vaccination is actually given, not when discussing one".
The note shows [not stated]. The consult never mentioned that blank's value. Fill it in while editing the note — or say it during the consult next time.
Save is greyed out. Give it a name and Your notes should say... are both required.
"Failed to save clinic standard" (or update/delete). Your change didn't save — try again, and refresh the page if it keeps failing. "Failed to load" on the list means the same for fetching; refresh to retry.
What this doesn't do (yet)
Standards don't apply to template previews. Testing a template from the template editor shows the template alone; standards appear in real consult notes.
No retroactive edits. Adding or changing a standard never rewrites notes you've already generated — regenerate a note to pick up new standards.
A practice can have up to 50 standards.
Standards work alongside your other note-shaping tools: templates control the overall structure of every note, and Find & Replace fixes exact word-for-word mishearings. A clinic standard sits in between — a piece of content that appears only when its situation comes up.
