Sending finished notes to your practice management system

When your practice connects Whippet Notes to your practice management system (PMS), finished consults are sent across automatically — there's no "send to PMS" button and nothing for you to trigger. Once a consult has been processed, Whippet syncs it to the matched appointment in your PMS in the background and shows a live status badge. Checking whether a consult has been sent

  1. Open the consult from your dashboard.

  2. In the Consult Details panel on the side, scroll down below the Summary.

  3. Read the coloured status badge. It refreshes itself every few seconds, so you can watch a consult move from waiting to sent without reloading the page.

The badge only appears once a consult has finished processing and you're viewing the saved consult. While it's still being transcribed or summarised, the panel shows the processing steps instead.

What the status badge means

  • Pending Integration Sync (amber, clock icon) — queued to be sent, not started yet.

  • Syncing with Integration (blue, spinning icon) — the transfer is in progress.

  • Synced with Integration (green, tick icon) — the consult has reached your PMS; you can move on.

  • Retrying Integration Sync (blue, spinning icon) — a previous attempt didn't go through and Whippet is automatically having another go.

  • Integration Sync Failed (red, alert icon) — the transfer didn't succeed.

  • Integration Sync Timed Out (red, alert icon) — your PMS didn't respond in time.

  • Integration Sync Cancelled (grey, alert icon) — the sync was stopped and won't be sent.

Confirming when it was sent

Once the badge reads Synced with Integration, a small chevron appears on its right. Click the badge to expand it and a Synced At: line shows the date and time the consult reached your PMS — handy for confirming the record landed before you close out the appointment. The expandable detail only shows on a successful sync.

If something goes wrong

  • The badge says Integration Sync Failed or Integration Sync Timed Out. The transfer didn't complete. Whippet may show Retrying Integration Sync as it makes another attempt on its own. If it keeps failing, contact support — there's no manual retry button in the dashboard.

  • No status badge appears at all. If the consult is still transcribing or summarising, let processing finish first. If your practice isn't on a connected integration, there won't be a badge — see Connecting a practice management system.

  • The badge is stuck on Pending Integration Sync. It's queued but hasn't started; the status updates automatically. If it stays pending for a long while, reach out to support.

What this doesn't do (yet)

  • Trigger or re-trigger a transfer manually. Sending and retrying are automatic; there's no button to start, resend, or force-retry a sync.

  • Choose what gets sent. The clinical record for the processed consult is sent as a whole — there's no per-field selection.

  • Show sync status on mobile. The badge lives in the web dashboard's Consult Details panel.

  • Show sync status during live processing. The badge appears only on the finished, saved consult.
