  1. In your ATS or job board, update the application notification email address to forward directly into Whippy.

  2. Or, create a simple forwarding rule in your email provider (Outlook, Gmail, etc.) to send all application notification emails to Whippy.

What if applicant data isn’t coming through?

  • Check that your ATS/job board is forwarding notifications to Whippy.

  • Confirm that required fields (name, email, phone) are included in the application.

Can I integrate multiple job boards?

  • Yes, Whippy supports most major job boards and applicant tracking systems.

What if an applicant applies twice?

  • Sequence entry limits within Whippy can be configured to prevent duplicate applicants from being re-enrolled into the same automation.

What is the expected delay from a job board (e.g., Indeed) to Whippy contact creation?

  • Contacts typically appear in Whippy within about 1 minute of the application being submitted.

Does Whippy poll Indeed on an interval, or is this webhook based?

  • Whippy relies on application email forwarding. Each Indeed integration generates a unique Whippy email address.

  • When a candidate applies, Indeed sends a copy of the application to this address. Whippy then parses the email and resume to extract the applicant’s details (name, phone number, email, and position applied for).

Must the sequence be enabled at the moment the contact is created for auto-enrollment to work?

  • Yes, the sequence must be active for the applicant to be automatically enrolled.

Are logs available for integration and sequence triggers?

  • Not currently. Integration and sequence trigger logs are not available in the Whippy UI. Our team is aware of this limitation and evaluating improvements.

Do quiet hours, business hours, or weekend settings delay messages set to “Send Immediately”?

  • Yes. If an application is received outside of configured hours, the first message will be delayed until the next available window.

    • Quiet Hours: Default is 8:00 PM – 8:00 AM. Messages received during this time are held until 8:01 AM.

    • Business Hours: Configurable per channel/phone number. For example, if business hours are 9:00 AM – 5:00 PM, Monday–Friday, an application received outside those hours will not trigger a message until the next business day.
