General Organisation Settings in Whippy

Configure global settings that control branding, communication behaviour, calling, AI, and security for your organisation.

Why it matters

General organisation settings define how Whippy behaves across all channels and users in your workspace. These settings control your organisation’s branding, opt-out rules, link tracking, default call behaviour, AI language handling, and security requirements. Keeping them accurate ensures a consistent, compliant experience for both customers and internal teams.

Key Concepts

Organisation Settings: Admin level controls that apply to the entire workspace, not just a single user or channel.

General Settings: The first section under Organisation Settings, where you manage logo, name, industry, communication rules, link tracking, call defaults, AI behaviour, and security.

Communication Preferences: Rules that determine how contacts are opted out when they send STOP style messages.

Organisation Link Tracking: Settings that control whether Whippy shortens links and adds tracking metadata by default.

Organisation Call Settings: Global defaults for call features such as conferences, recordings, transcriptions, voicemail, and ring timeout.

AI Settings: Controls for how AI detected language is stored on contacts.

Security Settings: Organisation level controls for enforcing multi-factor authentication (MFA).

Organisation ID: A unique identifier for your Whippy organisation, often required for support and integrations.

Step-by-Step: Configure General Organisation Settings

  1. Open Organisation Settings

    1. Click the Settings icon in the left navigation bar, or use the gear icon in the top navigation.

    2. In the Settings layout, switch to Organisation settings if needed.

    3. Click General in the organisation submenu.

  2. Set the organisation logo

    1. In the Logo section, click the Upload picture button.

    2. Use the resize modal to adjust the circular frame and zoom level.

    3. Click Upload picture to save the logo.

    4. Use the delete option if you need to remove the current logo and start again.

  3. Update organisation name and industry

    1. In the Organisation name field, enter or adjust your organisation’s name.

    2. In the Industry field, open the dropdown and select one or more applicable industries.

    3. Click Update to save name and industry changes.

  4. Connect to Google My Business (optional)

    1. In the Connect to Google My Business section, click the Google GMB button.

    2. Follow the prompts to authorise Whippy to access your Google My Business account.

    3. Once connected, you can automatically respond to, track, and analyse reviews in Whippy.

  5. Configure communication preferences (STOP behaviour)

    1. In the Communication preferences section, choose what happens when a contact sends “STOP” or similar opt-out messages.

    2. Use the dropdown to select one of the following behaviours:

      • Opt out of just the location (channel) that received the message.

      • Opt out of all locations with a given channel type (for example, all SMS channels).

      • Opt out of all communication.

    3. Save any changes if prompted.

  6. Manage organisation link tracking settings

    1. In the Organisation link tracking settings section, decide if link tracking should be enabled at the organisation level.

    2. Toggle Disable link tracking off if you want Whippy to shorten links and track clicks. Toggle it on to disable link tracking for the entire organisation.

    3. Optionally enable link tracking metadata if available.

    4. Use the Default domain dropdown to select the domain to use for shortened links.

    5. Confirm changes where required.

  7. Set organisation call settings

    1. In the Organisation call settings section, toggle on or off the following options:

      • Conferences

      • Recordings

      • Transcriptions

      • Voicemail for missed calls

    2. If Voicemail for missed calls is enabled, configure the Voicemail greetings:

      • Select Text and enter the message to be read out, or

      • Select Recording and upload or record an audio greeting.

    3. Click Save changes in this section to apply the call settings and voicemail greeting.

  8. Configure incoming call ring timeout

    1. In Incoming call ring timeout, set the number of seconds a call should ring before being considered missed.

    2. Enter the desired value in seconds.

    3. Click Update to save the timeout.

  9. Adjust organisation AI settings

    1. In the AI settings section, enable or disable the option to persist the language detected by AI as the contact’s language.

    2. When enabled, Whippy updates the contact’s language field based on AI detection across channels.

    3. Ensure you are using a recommended model (for example GPT 4.1 or better) if you rely heavily on this behaviour.

  10. Set organisation security settings

    1. In the Security settings section, decide whether to enforce multi-factor authentication for all users.

    2. Toggle Force multi-factor authentication on to require every user in your organisation to enable MFA.

    3. Communicate this requirement to users so they complete their MFA setup.

  11. Copy your organisation ID

    1. At the bottom of the General settings page, locate the Organisation ID.

    2. Click the clipboard icon next to the ID to copy it to your clipboard.

    3. Use this ID when working with Whippy Support or configuring integrations that require it.

Tips and Best Practices

  • Keep the organisation name and logo aligned with your current brand so users can easily identify the workspace.

  • Choose a communication preference that matches your compliance requirements. Opting contacts out of all communication is safest for high compliance environments.

  • Avoid disabling link tracking unless required. Using long or third party shortened URLs can increase spam risk.

  • Set voicemail for missed calls with a clear, concise greeting to manage caller expectations.

  • Adjust the ring timeout to balance giving users time to answer with avoiding long ringing experiences for callers.

  • Enable AI language persistence if you regularly communicate in multiple languages and want more accurate contact data.

  • Use force MFA for stronger security across the entire organisation, especially in larger or regulated teams.

Enable Force multi-factor authentication in Security settings.
