How membership income is charged, and when it is paid out to organizers

Overview

Withfriends pays out membership income up to twice a month.

A normal payout is initiated on the 3rd of the month.  This is almost always your only payout.  This payout covers the following: 

  • all new annual and members from the previous month

  • all existing monthly members recurring payments

  • all direct one-time donations made the previous month

A followup payout will occur on rare occasion, and be initated on the 18th of the month.  This covers existing members who had trouble making a membership payment on time.

Dates are approximate -  Withfriends attempts to pay you on the designated date, and retries every day until various problems are resolved.  Sometimes this can take several days.

Payouts often arrive in your bank account 1 business day after Withfriends initiates the payout, but officially takes 2 business days.

New Monthly Subscribers

When a new monthly member subscribes to your movement, they are charged a pro-rated amount immediately.   This amount will be included in the payout of your following month.

Ex: Anita buys a $5 monthly membership to Stepgaard on March 15th.   She gets charged $2.50 immediately, which arrives in your bank account, less fees, as part of the April 3rd payout.

New Annual Subscribers

When a new annual member subscribes to your movement, they are charged the full amount immediately.   This amount will be included in the payout of your following month.

Ex: Anita buys a $300 annual membership on March 17th.  She gets charged $300, which arrives in your bank account, less fees, as part of the April 3rd payout.

New Donations

When a supporter makes a one-time donation directly from your membership page, this amount will be included in the payout of your following month. 

Ex: Anita makes a one-time $3 donation via your membership page on March 20th.  She gets charged $3, which arrives in your bank account, less fees, as part of the April 3rd payout.

Please note that this does not apply to one-time donations which are made during ticket purchase or RSVP.  If a donation is made during a ticket purchase or RSVP, it will be included in the event payout instead.

Ex: Anita makes a one-time $3 donation while buying tickets to your March 22nd event.  She get charged $3, which arrives in your bank account (no fees deducted!) as part of an event payout initiated on March 24th (two days after the event).

Existing Monthly Members

All of your monthly members are charged on the 1st of every month.  Most often, these will be resolved and included as part the payout Withfriends initates on the 3rd of the month.  

How Withfriends resolves problems in membership payments

If there is a problem with a charge for any of your members,  you'll be notified in your initial payout receipt that there are pending members, and a followup payout forthcoming.

Withfriends will try 3 times to recharge the customer, and send them guidance to update their payment information:

If at least one member updates their payment information and the charge succeeds, you'll receive an additional payout initiated on the 18th of the month, that covers these late payments.

Meanwhile, if after 3 tries, the problem is not resolved, Withfriends automatically cancels a membership.  You'll get a notification per member that has been automatically canceled.

We'll also inform members of their cancellation, and an easy link to reactivate their membership at their option.
