This article shows teachers how to confirm grades between eAcademy Genius and Moodle

Each quarter during the school year, eAcademy™ teachers need to update student grades by either entering a score or excluding students from each graded item (e.g., assignments, forums, quizzes). The guidance in this document will review the process you need to follow each quarter and how to confirm your grades between eAcademy™ Genius and Moodle.

Districts Online Education Advisors (OEAs) rely on your course grades when populating report cards. To ensure that OEAs have plenty of time to retrieve quarter grades, the table below shows each quarter’s start and end date as well as the time and date that grades are due.

Quarter 1

~ Start Date: 08/22/2022

~ End Date: 10/25/2022

~ Grades Due: 8 am on Monday, 10/31/2022

Quarter 2

~ Start Date: 10/26/2022

~ End Date: 01/09/2023

~ Grades Due: 8 am on Thursday, 01/12/2023

Quarter 3

~ Start Date: 01/10/2023

~ End Date: 03/13/2023

~ Grades Due: 8 am on Thursday, 03/16/2023

Quarter 4

~ Start Date: 03/14/2023

~ End Date: 05/19/2023

~ Grades Due: 8 am on Thursday, 05/25/2023

~ Last day for seniors: 05/12/2023

~ Senior Grades Due: 4 pm on Tuesday, 05/16/2023

Steps to Follow:

Before confirming your grades, enter a grade for each graded item in your Moodle course.

~ Grade every assignment, forum, and quiz. While most quizzes are automatically graded, some teachers include quiz questions that need to be manually graded.

~ If students did not complete an assignment, forum, or quiz by the due date, enter a score of zero (0) unless you had discussion with the OEA and family to exclude the graded item.

~ If you need to exclude students from any graded items, follow the steps in the guidance: TEACHER-Excluding graded items in Moodle (assignments, quizzes, forums).

~ Once grades are entered in your Moodle course, it takes approximately one (1) hour for the grades to populate in Genius.

When comparing your Genius grades to your Moodle grades, use the Teacher Grade Report in eAcademy™ Genius (instructions at bottom).

For each student, compare the Grade to Date column in the Teacher Grade Report to the Nine Weeks (or Quarter) total column in the Moodle Grader report.

Discrepancies between Moodle Grades and the Teacher Grade Report:

If you see any discrepancies between your Moodle grades and the Teacher Grade Report and you made any changes to your Moodle grades, please wait at least one (1) hour to let the systems synchronize. Then, run the Teacher Grade Report again.

If you continue to see discrepancies a second time, make sure all graded items have a due date and that the due date falls within the correct grade category. The Teacher Grade Report is based on the due date only, so it’s important for your due dates and grade categories in Moodle to be accurate or the grades won’t match. Also, check to see if any excluded items in your gradebook contain a grade (even 0.00). Excluded items in your gradebook must be blank and cannot contain any grade.

If you’re still seeing a discrepancy between Moodle and Genius grades, please submit a Help Desk Ticket and provide us with the course name, student names with grade discrepancies, and list out the grades that you see on the Teacher Grade Report and in Moodle so that we can investigate the issue as quickly as possible.

IMPORTANT NOTES:

If granting a quiz or assignment extension to a student, DO NOT change the existing due date for the quiz or assignment. Review the guidance in the following documents: TEACHER-Granting an assignment extension in Moodle and TEACHER-Utilizing user overrides for quiz extensions in Moodle.

~ If the quiz or assignment extension goes beyond the quarter end date and the student’s grade changes for the quarter, please notify the student’s OEA of the grade change so report cards can be adjusted accordingly.

~ Forum assignments cannot be extended. If you have a student who requires an extension for a forum assignment and their post falls outside the To and From dates that you set in the Ratings section, you will need to edit their forum grade directly in the gradebook. Running the Teacher Grade Report in Genius:

The Teacher Grade Report allows you to enter a date range so you can see quarter (nine-week) grades and compare those grades to your Moodle grades.

  1. From the top menu bar in Genius, click Reports.

  2. Under Custom Reports, click Teacher Grade Report.

  3. Start Date: Enter the quarter’s Start Date. For example, enter 8/22/2022 (1st Quarter Start Date for the 2022/2023 school year).

  4. End Date: Enter the quarter’s End Date. For example, enter 10/25/2022 (1st Quarter End Date for the 2022/2023 school year).

  5. Enrollment Status: From the drop-down menu, select Active.

  6. Click Run Report. The report displays Active enrollments, which can be exported to Excel (click Export Results to Excel at the top right of the page). You can click a column heading to sort the results.

  7. Review the Grade to Date column from the Genius report when comparing the grades to your Moodle quarter (nine-week) grades.
