Follow through the eight tabs sequentially to give structure to your meeting.
To edit the meeting details and sequence, select edit meeting.
Step 1 - Start New Meeting
Select New Meeting from the left-hand menu. This brings up the meeting page which is divided into tabs matching the various stages of an effective meeting.
Make sure you have selected the Documentor and Convenor if they need to be changed.
Fill in attendance details
Next, select Start Meeting.
Step 2 - Follow Meeting Structure
You have started the meeting and now in the first section of the meeting flow with News items.
Follow the progression through the stages of the meeting to maximise your productivity. When you have addressed all the items for the current section of the meeting, select the next section.
Your meeting structure depends on how you have set up your meetings (such as User Based, Department Based etc).
Discuss and agree -
The discuss and agree section in a meeting is often where teams make decisions that inform how to move the business forward.
If team members have created Discussion items, they will appear in the 'Discuss and Agree' tab within the meeting structure.
During the meeting, click 'Resolve' to open the discussion item and find an outcome.
Add discussion notes and any solution discussed as a team.
If an action, based on the discussion, is required, add the action manually by clicking '+ Add' or click 'Ask Max AI' to generate AI suggested actions based on the specific discussion item.
Step 3 - Rate and Close Meeting
Give the meeting a score of how well you think it went. This score forms part of your 'Teamwork' score which affects the overall Team Execution Score.
Add any suggestions for improving the meeting next time.
Select 'Send Meeting of Minutes' if you want the automatically compiled minutes to be sent via email to attendees following the meeting.
Select 'Close Meeting' once finished.
Finally, you will be taken to the Team Performance Graph page so you can see how you are performing.
