Editing Timecards

This guide walks you through how to view, edit, and correct employee timecards in Worksana.

Viewing an Employee’s Timecard

  1. From the Timecard Overview, click on an employee’s first name.

  2. Their timecard table will open, showing all shifts.

  3. Totals are calculated automatically based on your payroll settings and update instantly when times are edited.


Adding and Editing Shifts

  • Add a shift: Type times directly into the grid (minimum punch-in and punch-out).

  • Shorthand allowed: e.g., 8a, 1130a, 12p, 503p. Use the Tab key to move between cells.

  • Edit a time: Select the cell, type the new time, and press Tab or Enter to save.

  • Add another shift on the same day: Hover over the row → click the plus (+) icon.

  • Add a second meal break: Hover over a Meal End cell → click plus (+).

  • Delete a meal break: Open Advanced Editor by clicking on the pencil icon in the Edit column on the far right of the grid → find the meal block → click the trash can icon.

⚠️ Note: Dates cannot be changed in the grid, but you can override them in the Advanced Editor


Icons on the Timecard Table

Each shift has four icons to the right of the date:

  • Beacon icon → Opens location tracking (for mobile app users).

  • “i” icon → Shows full audit history and (for kiosk users) their punch-in photo.

  • Shift status icon (Dropdown menu when clicked) → Displays status:

    • Approved - Default status if no system errors. You can manually change the status from Awaited Approval to clear error dots and highlights after a system flagged shift has been reviewed.

    • Awaited Approval - Default status if there is an error flagged by the system (Force out, correction request, missing meal, or late meal). Can be manually changed to Approved or any other status once reviewed.

    • Invalidated (shift excluded from totals/exports but times, comments, and audit history remains visible in the grid to admins)

    • Deleted (Select and save to remove shift permanently, cannot be recovered)

  • Comment bubble → Grey if no correction request, green if employee submitted one.


Correcting Common Errors

Times must be logical and cannot overlap.

To review errors:

  1. From Timecard Overview, apply the filter Show Deviations.

  2. Employees with issues are highlighted in light red (correction request or force out), orange (meal violation), or dark red (multiple issues).

  3. Open each employee’s timecard and correct errors as needed.

Examples:

Correction request: View employee’s note via the green comment bubble, edit times as appropriate.

Forced clock-out: If system forced an end time, update with the correct punch-out provided by the employee.

Missing meal: Add meal times, or use ADJ to insert a Meal Premium.

Late meal: Edit times to comply with state laws, or add a Meal Premium via ADJ button.


Using Adjustments (ADJ)

  • Click ADJ to add paid but non-worked time (e.g., Sick, PTO, or Meal Premium).

  • Adjustments display on a separate row and total independently.

  • To delete, click ADJ again and set the value to zero.
