Applicant outcomes

Learn how to manage applicant outcomes in Workstream, including rejecting, unrejecting, and marking applicants as hired.

This article helps you manage the final stages of applicants in Workstream. You’ll learn how to:

  • Reject applicants and optionally notify them.

  • View all rejected applicants.

  • Restore (unreject) applicants if you change your mind.

  • Mark applicants as hired.


Reject applicants

Rejecting applicants is how you remove candidates from your active hiring process. You can also add a reason, write internal notes, and notify the applicant.

Reject applicants manually

  1. In Team View, go to the Applicants page.

  2. Find the applicant you want to reject.

  3. Select the three-dot menu (•••) next to their name, then Reject.

  4. (Optional) Select Reasons for rejection.

  5. (Optional) Add a Rejection note. Rejection notes are internal and not sent to the applicant.

  6. (Optional) Enable Send rejection message to notify the applicant.

    When enabled, you will need to:

    1. Choose a template.

    2. Decide when the message should be sent:

      • Option 1: Turn on Send immediately (No Delay) to send the rejection message right away.

      • Option 2: Use Send message after to delay the message:

        1. Enter the delay amount.

        2. Choose Hours or Days.

      Note: If you unreject the applicant before the scheduled send time, the message will be canceled.

  7. (Optional) Turn on Remove from talent network if you don’t want this applicant to remain in your talent network for future opportunities.

  8. (Optional) Turn on Flag applicant if the applicant's behavior may not align with company guidelines. Flagged applicants are automatically rejected if they apply again in the future.

  9. Select Reject to finalize.

Reject multiple applicants at once

📌 The options to send messages immediately or schedule them don't apply to bulk rejection. Rejection messages for bulk-rejected applicants are automatically sent one hour after the action.

  1. In Team View, go to the Applicants page.

  2. Find the applicants you want to reject, then select the boxes next to their names.

  3. At the top bar, select Actions and choose Reject.

  4. Decide whether to send notifications.

    • Leave Send automated notifications to applicant(s) on to send the selected templates.

    • Turn it off to move them to Rejected without sending a message.

  5. Select Reject to finish.


View rejected applicants

You can see all applicants who have been rejected.

  1. In Team View, select the Applicants page.

  2. Select Filters.

  3. Then select Rejected under Applicant Status section.

All rejected applicants should now appear in the list.


Unreject applicants

If you decide to give a rejected applicant another chance, you can restore them to active status.

  1. In Team View, select the Applicants page.

  2. Select Filters.

  3. Select Rejected under Applicant Status.

  4. Find the applicant and select the three-dot menu (•••).

  5. Select Unreject to restore them.


Mark applicants as hired

Once you’ve decided to hire someone, you can mark them as hired manually.

  1. In Team View, select the Applicants page.

  2. Find the applicant and select the three-dot menu (•••).

  3. Select Mark as Hired and choose the appropriate stage.

  4. Select Confirm to finalize.

After you mark an applicant as hired, they will be moved to onboarding where you can start their onboarding process.
