Once your ADP Workforce Now account is set up, you can add it directly to your onboarding process in Workstream.
This integration helps you capture new hire details as part of your existing workflow, automatically syncing information to ADP without manual updates.
📌 You need the "Manage onboarding" permission to add and edit onboarding processes. If you don't have access to this setting, reach out to your Super Admin.

Set up your onboarding process with Workstream Connector
If you edited or added an onboarding template in ADP WFN, it takes an hour for the changes to appear in Workstream. If you make edits on the template on ADP WFN, and there are employees onboarding in-progress with the template, it will impact these employees' onboarding process.
To apply the changes, you'll have to edit the ADP WFN module as stated here, and restart the onboarding for those employees.
📌 You need the "Edit onboarding processes and onboarding documents" permission for this action. If you don't have access to this feature, reach out to your Super Admin.
Go to the Workstream admin view, then select Onboarding Processes.
Select + Create new process, or select the Actions menu to edit an existing one.
Select ⨁ Add module.
In the Financial Forms section, select ADP Workforce Now, then Continue.
Select whether you want to continue with the current version or upgrade to the new version of the ADP WFN integration. This doesn’t affect existing onboarding processes.
Note: Workstream supports both old and new versions of ADP APIs. If you've been using the older version, this helps you switch to the latest one when you set up a new onboarding process. This also appears if this is the first time you add the ADP WFN module.
Select I already have an ADP account, then Purchase WS connector. If you have purchased this before, select the link to give data consent and sign in to your ADP account.
Add the following details.
Onboarding template: Select the onboarding template you want to use
Hiring manager information: Set the fields you want the HR manager to provide, and which team members can fill out the information needed. Note that the Expected Started Date field is required
Employee information: Set the fields you want the employee to provide. Note that the Legal Name field is required
Reviewer: Select the role or person you want to assign as a reviewer for this onboarding module
Once added, the ADP WFN module will be available when you onboard a new employee with this onboarding process.
Then, when the assigned employee fills in the form, the reviewer needs to check and complete the information to send it to ADP WFN.
After that, the reviewer will need to go to ADP WFN and fill in the other required fields to complete the whole process.
