xTiles helps you organize your ideas, manage resources, and keep track of tasks —whether you’re working alone or with a team. In this article, we’ll walk you through how xTiles is set up, showing you how Workspaces and Projects fit together. Understanding this structure will make it easier to stay organized, get more done, and use xTiles to its fullest. By the end, you’ll know exactly how to organize your work so everything is clear, simple, and productive.
xTiles Structure
Spaces: virtual spaces that contain different projects; they are divided into Personal and Shared spaces.
Projects: main folders for your xTiles pages, stored within spaces. Can vary in size and complexity.
Pages: elements of a project used to display information. Each project can have multiple pages where users can add, organize, and edit content;
Tiles: elements on a page used to display information. Tiles can contain both text and media content and are used to organize information on the page. They can be arranged in any order on the page and organized into groups for the user’s convenience;
Blocks: the fundamental element of a data structure that is used for creating and formatting various types of content within tiles, such as text, lists, tables, images, videos, code, and many more.
Spaces
Spaces are the largest organizational units in xTiles. Each Space holds your xTiles Projects and helps you keep everything neatly organized. You can think of Workspaces as your folders for projects. There are two types of Spaces: Personal and Shared.
Personal Spaces are perfect for organizing your everyday life — planning a trip, renovating your home, tracking workouts, managing personal goals, or anything else you want to keep just for yourself.
Shared Spaces, on the other hand, are built for collaboration. You can invite teammates, friends, or family members to work together, share information, assign tasks, and manage projects in one place. Shared Spaces are ideal for both team projects and group planning with people you care about.
In xTiles, you start with your first default Workspace, which includes the main task-management project, “My Planner.” Learn more about My Planner here.
All your Workspaces are listed on the left side of the screen. From there, you can view your existing Spaces and create new ones — either Personal or Shared. Here’s how:
Navigate to the left side and click on the “plus” button to Create Space;
Enter the name and upload an image for your future Space
Click the “Create” button.
Name and image of the created Space can be changed anytime from the Space settings.
From Settings, you can also invite members to any of your Personal Spaces (except for the default Personal Space) to turn them into a Shared Space.
On the Free Plan, you can have up to 3 Personal Spaces and 1 Shared Space.
Projects
Project are main folders that contain your xTiles content. Each project contains pages, so it's possible to think of project as your virtual workbooks that contain pages. Those can be peronal, work-related, and other projects — depending on how you imagine it.
To create a new project:
Go to the Space where you want to create the project.
Click the “Create New Project” or “+ New Project” button in the top-right corner.
Choose one of the options:
Start from Scratch – create a blank project.
Create with AI – generate a project using an AI prompt.
A new project with one page will be automatically created.
You can also view and create other projects in any of your Spaces by opening the side menu - Projects Navigation Panel.
Moving projects
It's possible to move projects between Spaces by either going to the project settings and clicking the “Move to” option to choose the Space you want, or simply dragging the project to the desired Space — whichever is more convenient.
You can either move a project to another space completely or copy it to create a duplicate of this project in the Space you want:
Delete and restore Project
To delete your own project:
Find the project you want to delete;
Near the name of the project, press the menu of 3 points;
Select “Delete”;
Your project will be deleted. However, you can restore it simply by finding it in the Trash.
Additional project settings options:
Rename – Change the name of your project.
Copy Link – Copy the project link to your clipboard. You can also paste this link anywhere in xTiles for quick access to the project.
Duplicate – Create a copy of this project within the same Workspace.
Add to Favorites – Add the project to your Favorites section for easy access.
Load Image Cover – Upload an image from your device or choose one from Unsplash.
Archive – Move the project to Archived.
Note: The option to archive projects is only available for PLUS users.
Change Project Cover
One of the best ways to customize your project from the start is by adding a cover (the top part of the project). You can change its look by hovering over it and choosing from a set of beautiful preset covers, selecting one from Unsplash, or uploading an image from your device for full customization.
Pages
Pages are contained within Projects and are the main visual elements in xTiles. Each page is a piece of Canvas where you can add, arrange, and organize your tiles.
To create a new page in a project, follow these steps:
Click on the “plus” button located next to the last page of the project;
Select the ”Blank page from the options;
Enter the name of the created page
On Free Plan, it's possible to have up to 5 pages per project
Managing Pages
Pages can be interacted with: change their order, set color, names, duplicate, and copy.
You can change the order of your pages by simply dragging them.
Page Options
Click the three dots icon next to a page tab to open additional options.
Rename – Change the name of your page.
Page Settings – Adjust how your page appears and behaves.
Show/Hide Description – Add a short description to provide context at the top of your page.
Hide/Show Grid Dots – Choose between a grid-style canvas or a clean, empty background.
Lock Layout – Lock your current layout to prevent accidental edits.
Open in a New Tab – Open the page in a separate browser tab.
Duplicate – Create a copy of the current page within your project.
Copy Link – Copy a direct link to the page. You can paste it anywhere in xTiles for quick access.
Copy To – Copy the page to another project. You can either copy it to the clipboard and paste it anywhere, or choose a specific project within your Workspace from the list.
Save as Template – Add the page to your My Templates section so you can reuse the same layout anywhere in xTiles.
Publish Page – Make your page viewable by anyone with the link.
Add to a Page Group – Group multiple pages under one tab to keep them organized in a dropdown menu.
Tab Color – Choose from a set of color options to personalize your page tab.
Export To – Export your page as a PDF, Image, or Markdown file.
Archive – Archive pages you don’t currently need instead of deleting them. You can restore them anytime.
Delete – Delete a page from a project. Deleted pages go to Trash, so you can restore them later if needed.
Add page to a group
Add to a Group feature lets you group multiple pages under a single tab, so you can see them all in a dropdown menu — keeping your workspace organized and compact.
How to create a page group:
Click the three dots on the page tab to open page options.
Select Add Page to a Group.
Give your group a name (you can also choose a group color from the options).
Go to the other pages you want to include in the group. For each page, open the page options, choose Add Page to a Group, and select the group you just created.
Repeat for all pages you want to include.
Tips:
Hover over the group tab to see all pages within the group.
You can also add a new page directly from the group dropdown.
Linked Page
You can link a single page across multiple projects. When you edit the page in one project, the changes automatically appear in all other projects where that page is linked.
To link a page:
Copy the page to your clipboard from page options.
Paste it into another project.
When prompted, choose “Paste as Linked Page” and confirm
It’s an easy way to keep your pages aligned across different projects without having to update each one manually.
Types of Pages
When you make a new page, you’ll see a few different page types to choose from. each looks and works a bit differently, and can be good for different things — from organizing creative projects to complex datebase functionality.
Blank page (Creative Page)
This page gives you a free-form canvas where you can create, move, and customize tiles, and place content anywhere you like. It’s perfect for any type of work or just jotting down your thoughts and adding visual element — making it the most versatile page type in xTiles.
Generate with AI
Create a creative page with tiles generated from your prompt. Just write what you want on your page, and AI will generate it for you. Learn more about how AI works here.
Document
A simple, single-page layout designed for straightforward writing. Great for notes, drafts, or any content that needs a clean, linear format. You can even think of it as one big tile!
Gallery
A visual page where all elements appear as cards. Perfect for travel photos, recipe collections, or tracking movies and series, letting you see everything visually at a glance.
Board (Kanban Board)
Divide your content into visual boards containing cards you can drag and drop between them. Ideal for project management, task tracking, or product workflows.
Table
A classic table layout with rows and columns, letting you track numbers, people, selects (tags), or any other properties. Great for CRM, tracking lists, or just dumping your movie collection.
Calendar
A page where you can attach content to dates. Perfect for content planning, scheduling tasks, or keeping an overview of important dates.
Timeline (PLUS feature)
Allows you to view your content along a timeline showing start and due dates. Perfect for tracking deadlines and managing projects.
Note that Gallery, Board, Calednar and Timeline pages are collection-type pages and can function as a database. So each element is a card to which you can assign properties and filter your content however you like. You can learn more about xTiles collections here.
Tile
A Tile is the core building block in xTiles — a flexible container where you can add text, lists, images, videos, and other media. Think of it as a mini workspace you can move, resize, and customize in many ways.
To create a tile on the page, follow these steps:
Click and drag on the canvas to create a tile of any size;
Double-click on the canvas to create a tile of standard size.
Additionally, at any time, you can adjust the tile size and easily move tiles on the canvas by dragging and dropping.
Customize tile style
You can customize every aspect of how your tile looks. To do this, click the palette icon in the top-right corner of a tile to open the customization options.
From there, you can adjust icons, titles, styles, colors, and more to make your tile look exactly the way you want.
Icon
This option allows you to add an icon or emoji to your tile and place it on the left, right, or center. You can also change the emoji at any time by clicking on the current emoji and selecting a new one from the menu.
Title
By default, a tile is created with a small title, but you can adjust the size of the title or remove it entirely if you prefer a clean tile that contains only content.
Style Presets
In the style section, you can change the appearance of your tile using presets that adjust the upper part, outline, and color fill inside the tile.
Color Customization
It’s possible to choose from preset colors in the Color section or pick from a wide variety of shades, and you can even enter your own HEX, RGB, or HSL values to create a completely custom color. Simply type in your color code or drag on the color panel to adjust it.
Tip: For the most accurate HEX customization, use a color picker (eyedropper icon) to sample colors directly from your screen so the tile perfectly matches your page’s style.
Focus mode
By clicking the expand arrows icon in the top-right corner of a tile, you can open it in Focus Mode. This makes the tile appear as a separate, centered window, allowing you to concentrate on its content and see everything at a glance.
Generate with AI
This feature lets you generate content inside a tile based on your prompt, such as a travel plan or a motivational quote. Click the AI button at the top of the tile and enter what you want to include. You can choose to generate the content in the existing tile, create a new tile, or even create a new page from your prompt.
Additional tile options:
You can open additional options for a tile by clicking the three dots icon in the top-right corner:
Copy Link: Copies a direct link to the tile so it can be accessed from anywhere.
Duplicate: Creates an exact copy of the selected tile on the canvas (you can also quickly duplicate a tile by selecting it and pressing
Ctrl + Dshortcut)Add to Collection: Adds the tile as a card to a collection-type page of your choice.
Move To: Moves the tile to the Inbox or another page within the project.
Delete: Removes the tile from the canvas (or simply press
Delete / Backspaceafter selecting it).
Group tiles
Grouping tiles allows you to apply the same action to multiple tiles at once.
To group tiles, first select multiple tiles by clicking them while holding the Shift key (this allows you to select more than one tile at a time without deselecting the others). Then choose Group Tiles. After that, any action — like adding emojis, customizing style and color, generating AI content, moving tiles to other pages, or deleting — will apply to all grouped tiles.
Tip: To quickly group all tiles on a page, press Ctrl + A to select everything, then group the tiles.
Block
A Block is the smallest building element in the xTiles system. Blocks are the individual pieces of content inside a tile, such as text, tasks, lists, or images.
To create a block, simply click anywhere inside a tile and start typing or adding content — a block will automatically be created.
Moving blocks
Blocks just like tiles are very flexible and moveable, it's possible to move blocks both within the same tiles or even drag and drop them between different tiles.
To move a block, simply hover over the six dots icon to the left of the block (called block menu or a block handle) hold and drag anywhere:
Add content blocks to a tile
The main way to add content to a tile is by opening the command list, which you can do either by clicking the “+” button on the left side of the tile or by pressing “/” on your keyboard.
The command list is organized into several sections to help you find what you need quickly:
Popular: Frequently used commands for quick access.
Basic: Essential commands like text, tables, and other core content types.
Media: Commands for images, videos, colors, and other visual elements.
Lists: Numbered lists, bullet points, and other list formats.
Embeds: A selection of embeds from popular apps like YouTube, Google Maps, Figma, and more.
Expanded Block
Sometimes, when you have a lot of information and want to keep your workspace compact, you can expand a block to hold more details inside it. This allows you to organize related content neatly without cluttering your main page.
You can expand a block in several ways:
Note: Opens the block as a tile in focus mode.
Page: Creates a subpage under your block.
Project: Creates a subproject within your block.
To create an expanded block:
Create a text or any other block in the tile where you want the expanded block (or use an existing one).
Hover over and click the expand icon to the right of the block.
Choose whether to expand it to a Note, Page, or Project.
Fill in the expanded block with any content you need.
Block menu
The block menu gives you advanced control over any block and lets you access specific commands. To open the block menu, click the drag hand / six-dot icon on the right side of the block.
At the top of the block menu, you’ll find these options:
Add a Reaction: Choose and add an emoji reaction to the block.
Assignee: Assign the block to a person.
Schedule: Set a due date for the block. Note that assigning a person or due date will automatically turn the block into a task.
Comment: Leave a nested comment under the block.
The lower section of the block menu includes:
Turn Into: Convert the block into a different type (for example, text → task, checklist, or colored banner).
Use as Placeholder: Mark the block as a placeholder.
Add to Collection: Add the block to a collection-type page within the project.
Move To: Move the block to another page, the Inbox, or elsewhere in the project.
Delete: Remove the block from the tile.
