Bookings menu screen overview

There are three calendar views you can use to manage bookings. You can use the Bookings Calendar View and the Bookings Card View to create, edit, and cancel space bookings, and the Floor Plan View to create new space bookings and contracts. Kube blocks reservations for spaces included in contracts that have auto renew on. When the Renew Contracts scheduled task runs and turns off auto renew for a contract in the contract's final month, Kube allows you to book the space after the contract expiration date. For contracts without auto renew on, Kube blocks reservations until the contract expires. You can book after the contract expiration date at any time.

Kube additionally blocks reservations for spaces that have been placed on hold in a contract. These holds appear as bookings in the booking calendar and card view but do not appear in the booking reports. Once the hold expires, you can book the space at any time.

You can also customize the order that spaces show on the Bookings Calendar View and Bookings Card View. For more information, see Setting space order in the Bookings Menus.

TIPS:

  • Use the Property filter at the top right of the Calendar View, Card View, or the Floor Plan View to show spaces at a different property.

  • Kube lists space occupancy next to the Occupancy icon and the number of seats next to the Seats icon. For more information, see Adding a space.

Viewing the bookings calendar view

First, select Bookings in the top menu then the Calendar View tab.

You can view space availability by days, weeks, or months by selecting your desired view at the top right of the Bookings Calendar View. You can click through days, weeks, or months using the Date Arrow buttons at the top left of the Bookings Calendar.

To select a specific day to view, use the Calendar Picker button

to the right of the Date Arrow buttons. To return to the current day, click the Today button between the Date Arrow buttons. You can refresh the Bookings Calendar by clicking the Refresh button.

Use the Search by field to search for spaces using specific criteria, such as who the space is booked by. To view additional filters to further filter spaces by, click the More button.

The default view for the Bookings Calendar is to show all bookings for the current day during the property's hours of operation. If you want to see hours outside the hours of operation, click the 24/7 selector at the top right of the Bookings Calendar.

NOTE: If the property's hours of operation are 24/7, Kube shows 24/7 hours by default.

Viewing the bookings card view

First, select Bookings in the top menu then the Card View tab.

To change the list of spaces based on booking type, select the desired type from the Booking Type drop down filter. The results automatically appear.

To search by date, select the desired date in the Start Date filter. Different date options appear based on the booking type selected. The results automatically appear once the date selections are made.

You can also filter the space results based on Floor of Space, Type of Space, Amenities, Attendees, and the Price Range.

Use the Search by field to search for spaces using specific criteria, such as who the space is booked by.

Click Clear to clear the search filters and start over.

Viewing the bookings floor plan view

First, select Bookings in the top menu then the Floor Plan View tab.

Hover over highlighted spaces to view the space information and its current occupancy. Click on a space with a vacant status to open the additional actions menu.

NOTE: An image only appears if a floor plan image has been added to a floor, and spaces have been mapped to that image. For more information, see Adding a floor plan image and Mapping spaces to a floor plan.
