The contract approval process allows you to require approval for contract and contract tasks that internal users complete. You can set up operator approvals (for all of your properties) and individual property approvals. For each approval that you add, you can select the internal user or users who must approve the task. Kube notifies the approvers by email when an internal user requests their approval.
You can create approvals for different stage gates, or contract statuses. These statues include Activate Contract, Discard Contract, Terminate Contract, and Communicate Contract.
This article discusses the approval process flow for different stage gate approvals. For more information about adding a contract approval condition, see Adding a contract approval condition.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
Activated Contract
The Activated Contract stage gate requires approval before an internal user moves in a contract or starts billing for an amended version of a contract. For more information, see Activating a contract.
Upon approval, Kube allows the internal user to activate the contract and to decide to activate the contract with or without an invoice. For an amended version of a contract, Kube allows the internal user to start billing immediately or on the next bill cycle.
If there are configurable amenities included in the contract, Kube shows an amenity configuration request window and adds the configuration to the Amenity Configuration screen.
Discarded Contract
The Discarded Contract stage gate requires approval before an internal user marks a contract Discarded. For more information, see Discarding a contract.
Upon approval, Kube allows the internal user to mark the contract Discarded. The internal user must select the reason for the contract being discarded and must enter comments before saving.
Terminated
The Terminated stage requires approval before an internal user terminates a contract. If a termination is scheduled for the future and the approver does not approve the termination by the selected termination date, Kube does not terminate the contract when the termination date comes. If the approver does eventually approve the termination, Kube terminates the contract on the day the approver terminates it.
Upon approval, Kube allows the internal user to terminate the contract. The internal user must select whether to terminate the contract immediately or to terminate the contract on a selected date.
