Companies can make payments using ACH, cash, check, credit, debit, or wire payment methods. You can add ACH, credit, and debit payment methods to Kube to be kept on file. Kube also stores member payment methods added when an internal user makes a Pay Now booking and when members check out in the Member and Prospect Portals. When you add ACH, credit, or debit accounts or cards, you can select the default card or account that Kube uses for automatic payments. Payment processing processes all ACH, credit, and debit payments, so you do not need to use third-party payment processors to accept payments in Kube. When you set up payment processing, you make decisions about how Kube processes your transactions, such as whether your organization absorbs credit card service fees or passes them on to customers.
Before you can accept ACH, credit, or debit payments, you need to both set up payment processing and add company payment methods into Kube.
This article describes adding credit card, debit card, bank account, or BACS/SEPA Direct Debit (international) payment methods.
NOTES:
If your companies use payment methods other than ACH, cash, check, credit, or debit, use the cash payment type for the payment and add a note in the Notes field that indicates the payment type for your records.
If a company is located at multiple properties, different default payment methods can be added for each property.
If your organization is international and uses Yardi Voyager direct debit, you can also enable direct debit for your companies in Kube. For more information, see Setting whether a company uses direct debit.
If a company pays via Wire transfer, it is the responsibility of the company to make payments on time through the member portal.
The largest electronic payment Kube can process is $25,000. If you need to take a larger payment via credit card or debit card, process two separate transactions that split up the total amount. You can also contact payment processing to work with an ACH vendor that allows payments above $25,000.

To add a credit card/debit card payment method
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company you want to add a payment method for and click the company name. The Company Essentials Window appears.
Click Detailed View, then select Billing in the side menu and select the Payment Methods tab.
NOTE: Kube uses the default payment method set for each property to process payments for invoices from that property when Automatic Payments are enabled. For more information about setting the default payment method, see Setting a company's default payment method.
Click either the Credit Card or Debit Card section and click the Add button. The Yardi Card Services screen appears in a new window.
TIP: If the Yardi Card Services window does not appear, check the pop-up blocker settings in your browser. Ensure that pop-ups are allowed when using Kube.
To add a bank account payment method
NOTE: Bank accounts must first be verified before they can be used to make a payment. This section covers both adding the bank account and assisting the member with verifying the account.
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company you want to add a payment method for and click the company name. The Company Essentials Window appears.
Click Detailed View, then select Billing in the side menu and select the Payment Methods tab.
NOTE: Kube uses the default payment method set for each property to process payments for invoices from that property when Automatic Payments are enabled. For more information about setting the default payment method, see Setting a company's default payment method.
Click the Bank Account section.
NOTE: This step is for organizations that use Domestic Tax. If you use International Tax, see the To add a BACS/SEPA Direct Debit payment method section.
Click the Add and then the Manually Add Bank Account buttons.
Complete the fields.
NOTE:
The only special characters allowed in the Account Name field are "&", "*", and "^".
If the bank account is the default bank account, click the Default button. If there is only one bank account on file, Kube automatically makes it the default bank account.
Click Save in the Bank Account section.
Kube displays the bank account in the Accounts Pending Verification section.
Instruct the member that a small micro deposit will be deposited into their account within the next 1-3 business days and to look for a transaction with "ACCTVERIFY" in its description.
TIP: The member can complete their bank account verification in the Member Portal. For more information, see Adding a payment method in the Member Portal.
When the member provides the microdeposit amount, return to the Payment Methods > Bank Account menu and click the Verify Account
button.
Enter the micro deposit amount in the field. Click Submit.
CAUTION: Do not attempt to guess the amount. If the 3 verification attempts are exhausted, the account will be locked and verification delayed. If the account becomes locked, contact Yardi technical support for assistance.
If verified successfully, Kube moves the bank account to the Verified Bank Accounts section.
To add a BACS/SEPA Direct Debit payment method (non-U.S. properties)
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company you want to add a payment method for and click the company name. The Company Essentials Window appears.
Click Detailed View, then select Billing in the side menu and select the Payment Methods tab.
NOTE: Kube uses the default payment method set for each property to process payments for invoices from that property when Automatic Payments are enabled. For more information about setting the default payment method, see Setting a company's default payment method.
Click the Direct Debit section.
NOTE: This step is for organizations that use International Tax. If you use Domestic Tax, see the To add a bank account payment method section.
Click the Add button. The BACS/SEPA Direct Debit window appears.
TIP: If the window does not appear, check the pop-up blocker settings in your browser. Ensure that pop-ups are allowed when using Kube.
Complete the fields and click Continue to setup confirmation. A confirmation request appears.
Click Setup direct debit. The window closes.
