When a booking is created either through the reseller portal or from the Prospect and Member Portals, files can be attached to that booking. After the booking is created, the file can be downloaded, deleted, or the file name edited.
This article describes managing booking files from the main booking menu, at the company level, and at the member level.
To manage files from the bookings menu
Select Bookings in the top menu.
Select Calendar View or Card View towards the upper left of the screen.
Locate the booking.
If using the Calendar View, click on the booking to view the booking window.
If using the Card View, hover over the booking to view the booking details. Click View.
TIPS:
You can use the property filter at the top of the screen to switch between properties. You can also use the Date Picker button to select the date the booking occurs on.
If the space allows simultaneous bookings, the Booking List appears. Locate the booking on the list and click the Edit button. Skip to Step 4.
In the Attachments section, locate the file you would like to modify.
TIP: You can also add additional files by clicking Add File.
Click the edit button to change the file name.
Click the download button to download a copy of the file to your local device.
Click the delete button to remove the file from the booking. The file cannot be retrieved once it is deleted.
Click Close to close the booking details window.
To manage files from the company's bookings menu
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company in the grid and click the company's name. The Company Essentials window appears.
Click Detailed View. Select Bookings in the side menu. The Manage Bookings screen appears.
Click the three dot additional options button next to the booking.
Click Manage Attachments. The Edit Attachments window appears.
In the file list, locate the file you would like to modify.
TIP: You can also add additional files by clicking Add File.
Click the edit button to change the file name.
Click the download button to download a copy of the file to your local device.
Click the delete button to remove the file from the booking. The file cannot be retrieved once it is deleted.
Close the window by clicking the X button located towards the top right of the Edit Attachments window.
To manage files from the member's bookings menu
Select Customers in the top menu and select Members from the drop-down menu.
Locate the member in the grid and click the member's name. The Member Essentials window appears.
Click Detailed View. Select Bookings in the side menu. The Manage Bookings screen appears.
Click the three dot additional options button next to the booking.
Click Manage Attachments. The Edit Attachments window appears.
In the file list, locate the file you would like to modify.
