Learn how to view, manage, and take action on events from the Yayem admin dashboard. You’ll learn how to interpret the event list, view attendees, edit events, add attendees manually, and cancel single events or entire series.

Learn how to view, manage, and take action on events from the Yayem admin dashboard. You’ll learn how to interpret the event list, view attendees, edit events, add attendees manually, and cancel single events or entire series.


1. Accessing the Events List

  • In the Admin sidebar, go to Experiences.

  • Choose Upcoming Events to view future scheduled events or Previous Events to look at completed ones.


2. Understanding the Event List

Each row in the list includes:

  • Name – The title of the experience. Recurring or multi-date experiences display a refresh icon to indicate they are part of a series.

  • Type – Shows how the experience is delivered: Trip, In-Person, Virtual, Hybrid

  • Date – The scheduled date of the event.

  • Time The start and end time. If the experience has no defined time, this appears as -- / --.

  • Attendees – Displays avatar initials for registered attendees.

    • Hovering shows individual attendees

    • +N indicates additional attendees not shown inline

  • Status – Shows the publishing state:

    • Published (green indicator)

  • More Actions (⋮) – Opens the action menu for managing the experience.

You can also:

  • Search events by title.

  • Filter by date range: Today, Tomorrow, This Week, All, or a custom range.


3. Event Actions Menu

Click the menu on any experience row to access management actions.

Available Actions

View Attendees
Opens the attendee list for the experience.

Edit Details
Opens the experience editor, allowing you to update:

  • Basics

  • Location

  • Schedule

  • Access

  • Pricing

Add Attendee
Manually add an attendee to the experience.

Cancel Event
Cancels a single event instance.

Cancel Entire Series
Cancels all events in a recurring series.


4. Viewing Attendees

Selecting View Attendees allows you to review who is registered for the experience.

Attendees are displayed with:

  • Initials

  • Member or guest status

This view reflects all confirmed attendees for that event.


5. Adding an Attendee Manually

Select Add Attendee from the actions menu to manually add someone to an experience.

Required Fields

Full Name
Used in the attendee list and confirmations.

User Email
If the email matches an existing member, the attendee is automatically linked to their member profile.

If not, they are added as a public attendee.

Important Notes

  • Attendees added manually always join for free

  • This does not affect pricing or capacity rules

Click Add to confirm, or Cancel to discard.


6. Canceling an Event

Cancel Event (Single Instance)

Selecting Cancel Event opens a confirmation modal.

  • This action cannot be undone

  • If the event has active bookings:

    • All bookings are removed

    • Refunds are automatically issued to affected members

You must confirm to proceed.


Cancel Entire Series

Selecting Cancel Entire Series cancels all events in a recurring set.

  • This action cannot be undone

  • All bookings across all events in the series are removed

  • Refunds are automatically issued where applicable

Use this option carefully when managing recurring experiences.


7. Status Behavior

  • Published experiences are immediately visible for booking

  • Cancelled events are removed from booking and attendee access

  • Refunds (if applicable) are handled automatically during cancellation


Admin Best Practices

  • Review attendee counts before canceling events or series

  • Use Add Attendee sparingly to maintain accurate capacity tracking

  • Double-check whether an experience is part of a series before canceling

  • Use attendee avatars as a quick signal for engagement and turnout

  • Keep event details up to date using Edit Details to avoid member confusion
