Managing Amenity Availability & Details

Use "All Amenities" to see every bookable resource (e.g., rooms, desks, studios) in one place, check capacity and access rules, and jump into edits.

Overview

Use the Amenities section to view all bookable assets (rooms, desks, studios, etc.). You can check capacity, access rules and edit settings from one dashboard.


1. Where to Find It

  • Navigate to Admin → Spaces → Amenities.


2. The List View

Within the “Amenities” list you’ll see columns showing:

  • Name – display name of the space (e.g., “Meeting Room A”)

  • Type – category of resource (Room, Desk, Studio)

  • Place (Venue) – the parent location the resource belongs to

  • Capacity – maximum number of people allowed per booking

  • Access Policy – who can book it (Public, Members-only, Specific Tier)

  • Actions – options such as View or Edit


3. Editing Amenity Details

When you click Edit on an amenity you can adjust:

  • Capacity (update to ensure correct usage limits)

  • Access policy (who can make bookings)

  • Availability rules (time slots, booking windows)

  • Reservation settings (advance notice, cancellation policy)

  • Pricing (if relevant)

  • Location or parent venue assignment
    Make sure to save changes so they reflect in the booking flow.


4. Availability Settings

Key availability-related fields to review:

  • Enable/disable booking for that amenity

  • Define booking duration options (e.g., hourly, half-day, full day)

  • Set how far ahead users can schedule this amenity

  • Specify any blackout or restricted days/times

  • Set cancellation and modification rules
    Implementing proper rules prevents overbooking and ensures operational clarity.


5. Access & Capacity Control

  • Access Policy: Determine whether bookings are open to everyone, only members, or a specific membership tier.

  • Capacity: Ensure the maximum occupancy is correct. This protects from overcrowding or misuse.

  • Use tags or filters to categorize amenity (e.g., “Quiet Zone”, “Meeting Room”, “Studio”) for easier admin navigation.


Admin Tips

  • Regularly audit the “Amenities” list to ensure no resources are inactive but still bookable.

  • Use filters (by place/venue, type, access policy) to identify under-utilized or mis-configured spaces.

  • If you change an amenities capacity or access policy, communicate this to users so expectations are clear.

  • Align amenity availability with key venue or city schedules to avoid creating booking conflicts.
