Cancelling An Experience Reservation

You can cancel any user's reservation directly from the experience page. When a reservation is cancelled, the user is removed from the attendee list and notified automatically.

Objective

You can cancel any user's reservation directly from the experience page. When a reservation is cancelled, the user is removed from the attendee list and notified automatically.


1. Open the Event Page

Scroll to the Public List section to see all attendees for the event.

Each guest has two options next to their name:

  • Check In

  • Cancel

Click: Cancel


2. Confirm the Cancellation

  • A modal will appear asking you to confirm.

  • You’ll see:

    • “Cancel this booking?”

    • Along with the guest’s name and a note that the user will be notified.

  • To complete the action, click:

    • Cancel Booking

    • This action cannot be undone.


3. What Happens After Cancellation

  • The guest is immediately removed from the attendee list.

  • The guest receives a cancellation notification email.

  • If the guest originally paid for the experience (e.g., a member booking via the public app), any applicable refund rules will be applied.

  • For manually added guests, no payment is involved, so no refund is issued.


Notes & Tips

  • No payment is charged for manually added guests, so cancelling these bookings never triggers refunds.

  • If the email belonged to a member, the system treats the cancellation the same as if they cancelled through the mobile app—except you are initiating it on their behalf.

  • Cancellations move fast: once confirmed, the guest is removed instantly, helping you keep class/event lists clean and accurate.

  • Use this for no-shows or schedule changes to keep your event roster updated in real time.

⚡︎ Please note that if a cancellation is tied to a payment, that cancellation will automatically initiate a refund. If no payment is associated (or free), there will be no refund applied.
