Use this guide when Yonda asks you to upload sales, import or input-tax data for a filing period. It explains what to provide, which template to use and what happens after you submit it.

An upload confirms only that you supplied a file. It does not by itself confirm that the file is complete, has passed review or has been used in a return.

You must be an Admin user to upload data in the Yonda Portal. Members can view portal areas but cannot upload data or change settings or integrations.

1. Decide what data you need to provide

Upload data that is not already supplied by an active integration.

  • Sales data: Upload sales from channels or systems that are not connected to Yonda.

  • Import data: Import information and its supporting documents must be uploaded manually.

  • Input-tax or purchase data: Upload this manually when Yonda requests it, using the current template provided for your account.

Do not upload integrated sales again unless Yonda specifically asks you to. Yonda does not routinely reconcile manual and integrated data to remove duplicates.

If you are unsure what an integration covers, contact Support before uploading.

2. Use the current template

Use the upload template supplied for your account. The accompanying guide explains how to complete it, but the guide itself is not the file you should submit.

  • Sales data must be supplied as an .xlsx or .csv file.

  • Import data must use Yonda’s current Imports template in .xlsx format and include the requested supporting documents.

  • Input-tax data must use the current template supplied by Yonda. Do not reuse an old or different template unless Support confirms it is still valid.

Do not add, remove, rename or reorder protected template columns. Complete every required worksheet for the requested period.

For help with the Imports template, see How to Complete the Standard Imports Template.

3. Check the reporting period

Confirm whether Yonda needs a month, quarter, annual period or historical range.

For quarterly data, review every month in the quarter. For backdated or overdue filings, provide every requested historical period rather than assuming Yonda already holds the records.

If your account follows a monthly manual-upload process, submit every month without waiting for a reminder.

4. Submit by the cutoff

The standard manual-data cutoff is the 10th of the month, including when the 10th falls on a weekend or holiday.

For German returns, provide the data by the 5th of the month because the filing deadline is earlier.

If you expect one-off additional data that Yonda would not normally anticipate, tell Support at least two weeks before the end of the filing period. This helps the team account for it before filing work proceeds.

5. Avoid duplicating integrated data

An integration may supply sales data without supplying imports, input tax or another required data type. Upload only the uncovered data requested by Yonda.

Manual data is not automatically reconciled or deduplicated against integrated data. Check the source and period before submitting to avoid reporting the same transactions twice.

6. When to select No Data to Upload

Select No Data to Upload only when you have no additional sales, import or input-tax data to provide for that request.

  • If Yonda already receives data through an integration, the return will be processed using the data available from that integration.

  • If Yonda has no integrated data and you select No Data to Upload, Yonda will prepare a nil return.

Do not select No Data to Upload if a document or file is still expected. Tell Support what is missing and when you expect to receive it.

7. Upload the file

Before submitting:

  1. Confirm the legal entity, jurisdiction and reporting period.

  2. Use the current template for the requested data type.

  3. Remove transactions already supplied through an integration unless Yonda asked you to include them.

  4. Review the complete period and every required worksheet.

  5. Add the requested supporting documents.

  6. Retain a copy of everything submitted.

Before you select Submit, make sure every required file and supporting document is included. Once submitted, the upload is locked: you cannot return to add more files to that submission.

Upload through the Yonda Portal. If the portal rejects the file, contact Yonda through support@yondatax.com or portal chat. Include the reporting period, the error message and the rejected filename. Do not assume the file was received.

8. Corrected or replacement data

If Yonda asks for a corrected workbook:

  • identify the affected reporting period;

  • identify the relevant transaction or order number;

  • correct every relevant worksheet consistently; and

  • submit the complete replacement requested by Yonda.

A replacement is not accepted merely because it was uploaded. Wait for Yonda to confirm the review outcome.

Refund-matching and tax-treatment questions are handled separately because the correct treatment depends on the transaction and jurisdiction.

9. If your data is late

If data arrives after the cutoff, Yonda will try to file on time, but cannot guarantee this. Penalties and interest may apply if late data causes a return or payment to miss its deadline.

If the return has already been filed, do not assume that uploading a new file will amend it. Contact Support before any corrective work begins. Yonda will confirm the appropriate route and whether a fee applies.

10. What happens after submission

After receiving the upload, Yonda may:

  • confirm that the file can be opened;

  • check whether the correct template and period were supplied;

  • ask for missing information or supporting documents;

  • validate the data for return preparation; and

  • use the reviewed data in the relevant filing process.

These are separate stages. A successful upload does not by itself mean that validation or filing is complete.

When to contact Support

Contact support@yondatax.com or use portal chat when:

  • you are unsure which data an integration supplies;

  • the correct template is unavailable;

  • a required document will arrive late;

  • the portal rejects an upload;

  • you need to replace a submitted file;

  • the data concerns periods before Yonda began servicing the account; or

  • you need to know whether a return has already been prepared or filed.

Include the legal entity, jurisdiction, reporting period and relevant filename or error.
