Smart Greetings

YouMail's Smart Greeting is an automatic, intelligently formed voicemail message that uses customizable bits of information that we know about both you and your callers to give them a friendly, personalized experience.

For example, if your caller is named John, and your name is Mike, the Smart Greeting will play:

"Hi John, Mike is currently unavailable. Please leave a message."

Could you let me know the names of my callers?

The most certain way to help us identify your caller is to create a contact that contains both their name and phone number.

In addition to your contacts, YouMail also uses a large directory with the caller ID information for hundreds of millions of callers. If you don't have a contact, but we can find the name of your caller in our database, we'll greet them with that name, even if it is not the correct name.

Sometimes these databases have the owner of the phone line (i.e., the person who pays the bill), so until you create a contact for someone, we might think that their spouse or parent is the one calling you. Syncing your phone's contacts to YouMail helps avoid that.

Levels of Smart Greeting

The basic Smart Greeting is more casual and only uses your first name, phone number, or the phrase "the YouMail subscriber".

You can configure the smart greeting to update:

  1. The voice used.

  2. Salutation (to greet the caller by name or not)

  3. How you are addressed (first name, first and last, first name & company, etc.)

  4. Your status (Unavailable, In a meeting, With a client, etc.)

You can also set the status to expire if you like. If you enable this option, you'll get an additional date and time setting to configure for the status.

Smart Greeting (Pro)

Users subscribed to any Professional plan have access to a more advanced Smart Greeting, which allows you to provide a custom script to be used instead of the default options. The greeting can still have the salutation enabled or not, but would instead play your script. For Example:

"Hi, John. Thank you for calling (Company name / First name), We're unavailable at the moment. However, please leave your name, number, and reason for calling, and we'll follow up with you accordingly."

If you have already requested a professional recording, that audio can be used with the smart greeting. Otherwise, you can request a new recording by selecting the "Request Pro Recording option.

When the script is submitted, it may take 5-7 days to be recorded, depending on how many backlogged requests we have at any given time. You'll see a blue banner with the request, and you can click on it to see the ETA for the recording.

If you kept the "Make This My Maine Greeting" option, once recorded, it's automatically set as the greeting for the account. Otherwise, the audio is saved to your greeting list and can be used/enabled when you're ready.

How to enable/configure the setting

  • From the online account, you'll select "Greetings" from the left-hand menu pane.

  • Choose the option "Greeting Summary".

  • Select the "Edit Smart Greeting" button and then configure the basic menu or the pro option as needed.
