In this guide, the functions of YoungCRM are presented and how they can benefit continuation schools the most.

For continuation schools, YoungCRM can be seen as a student database where current students and potential students can sign up; where the school can store data about students, and subsequently communicate with them.

Forms

The most fundamental function of YoungCRM is the creation of forms. It's the use of forms that make it possible to obtain new students for your school's YoungCRM system. The system compiles all your forms in one place and therefore, it is easy to organise them.

Here is a list of examples of forms that most continuation schools will greatly benefit from by creating in YoungCRM:

  • Registration to the continuation school the following year
  • Sign up to Open House events
  • Sign up to newsletter
  • Sign up to other events

You can design forms in regards to both look and content, depending on what the form is used for. Therefore, it's really up to you to decide what information you're looking to collect from the students who sign up via the form.
YoungCRM has some data fields by default but you can add as many additional data fields as you like.

People

As mentioned before, YoungCRM works as a student database for the continuation school. Under People in the system, you can see students associated with the school one way or another: as current students, future students, or prospective students who have particpated in an event.

To keep track of the students' relation to the school, it's possible to segment the students and by saving views you can easily find the right segment. This can also be done by labelling the students. Moreover, you can export people and their information from YoungCRM to Excel or print it.

In YoungCRM, you can store as much information as you like - and it is stored safely. For instance, it could be basic information such as name, date of birth, address, contact information, and field of study.
It is also possible to add more information to students in the system. With the administrator role, information can be added or edited manually in YoungCRM, or an email can be sent to the students with a link to a form, which by being filled out, can add additional information to the database.

Mail

It's possible to communicate with people from your database in YoungCRM via email. There are various types of emails that can be sent via YoungCRM. For instance, emails can be sent out automatically when a person sign up through a form.

If an event is being held at the continuation school, an email can be set up to serve as a reminder for the event. By doing so, there's a greater chance that people who signed up will actually show up.

Here is a couple of suggestions to emails a continuation school can send out via YoungCRM:

  • Newsletter
  • Confirmation email from sign up through forms
  • Emails about meetings with students (direct communication)
  • Reminders
  • Announcements

You can design your own emails by adding pictures and choosing a profile picture, cover picture and background color.

Extra: Event Manager module

As an extra feature in YoungCRM, it's possible to purchase the module Event Manager which makes it easy and manageable to set up and manage events via YoungCRM.

As the name suggests, the purpose of this module is to ease the execution of the technical aspect of organising an event. For instance, you can create an event form where you state time, place and registration deadline, a description of the event and create a form to sign up through. When this is done, the Event Manager will keep track of people who have signed up as well as the number of vacant spots. Furthermore, it's possible to create a number of automatic emails in relation to the event. For instance, a waiting list can be created so that people who sign up when there are no vacant spots will be put on a waiting list. The system will also take care of assigning a spot for people on the waiting list in case someone who signed up cancels.

The Event Manager generates statistics for every event. This shows the number of people who signed up, people on waiting list or attendance at the event.

Extra: SMS module

The SMS module is yet another feature possible to purchase in YoungCRM. The module works in a very similar way to the email function with almost the same features. Instead of simply sending out emails, it is also possible to send text messages. This module is beneficial if it's assessed that the target group are more likely to read a text message than an email which is often the case for students of continuation schools.
