Chapters should establish a succession plan for their executive boards that can be structured over a few fiscal years. Knowing which officers are scheduled for specific roles will help the chapter align with its goals and maintain a healthy chapter.

Steps
Navigate to Create a Chapter Officer
1. Navigate to Operations > Action - Create a Chapter Officer
Fill in Details
2. Locate the member’s name under the Contact field. If you have multiple contacts with the same name, click the magnifying glass to ensure you select the correct person.
3. Under Position, search for the officer role and select the correct position. Tip use the start word as chapter for most positions.
4. Select Identification Status as Filled.
5. Update the Status as follows:
•Current: 1 July to 30 June of current year
•Elect: 1 July to 30 June of upcoming year
•Pre-elect: 1 July to 30 June of the year following the next year
6. The Start Date and End Date will pre-populate based on the status you selected. You can change the dates if needed, but this is not recommended.
7. Click Save.
Things to know
Chapter managers can add officers at any time through the fiscal year. If you make a mistake, you can cancel a position.
If your chapter has multiple officers in the same role and only wants one officer to display on YPO Connect, you can check the box on the Hide from Connect Officer Directory field. This allows officers to be entered, attend training, but simplifies your chapter's officer directory on YPO Connect.
Best Practices
Ensure that elect core officers are correctly entered before 1 November every year into the Chapter Management Hub. This will ensure that records trigger the correct Officer Education enrollments and reflect in Chapter Health scores and in the Chapter Commitments.
Any core elect positions that are added after 1 November will not improve the officer elect identification score. Additionally, if chapters change a core role for any reason it will negatively impact the chapters metric score.
Core officers include:
YPO and Integrated chapters: chapter chair, chapter learning officer, chapter assistant learning officer, chapter forum officer, and chapter membership officer.
YPO Gold chapters: chapter chair, chapter learning officer, chapter assistant learning officer, chapter forum officer, and chapter member engagement officer.

Request Officer Exception: This form is to apply for a waiver for an exception.
Conduct Check Opt-in: Chapters can opt in to have the chapter-elect core officers checked for YPO global conduct violations before confirming the officer’s position on the chapter board. Contact Shelva Suggs at ssuggs@ypo.org.
