How To Edit Unbilled Charges: Time Entries, Fixed Fees, and Expenses For A Matter In ZenCase

Overview

You can edit, clone, move to pre-bill invoice, or add discounts to unbilled charges, such as time entries, fixed fees, and expenses that are associated to a matter easily in ZenCase.

Note: Only time entries and fixed fees can have discounts applied directly to each charge.

How To Edit A Charge

You can edit any unbilled charge associated to a matter directly from the Time & Expenses page. Billed charges cannot be edited on a final invoice.

  • Go to the Time & Expenses page from left sidebar navigation

  • Click "More Filters"

  • Select "All Unbilled" from the Invoice Status dropdown

  • From the table, you can double click any row item you wish to edit

    • Note: Time entries with running/paused timers and billed charges are not editable. It is recommended to filter charges by "All Unbilled" when editing.

  • You can also select the "..." three dots icon from the Actions column

  • Click "Edit Time Entry"

  • When the new pop up window opens, edit your charge details

  • All changes are auto-saved and shown at the top right corner

    • You will see "Changed Detected" when you are actively editing

    • You will see "Changes Saved" when auto saved

  • Click "Done" when complete

Once you are done editing your charge, you will see the details update in the table. If they have not updated properly, simply refresh the page and verify changes.

Under the Type column, you can quickly scan for the type of charge by the icons:

  • Clock = Time Entry

  • Paper Receipt = Expense

  • Dollar = Fixed Fee

You have successfully edited your charge. You can view hours, billed, and paid summaries at the top of the Time & Expenses page for a quick financial overview.

How To Edit Charges In Bulk

On the Time & Expenses page, you can select multiple charges in the table with the checkbox. Then Click on "Bulk Actions" and select your action.

Note: If you have a mix of time entries, fixed fees, and expenses, then not all options will be available. Certain actions will be greyed out. We recommend filtering your table results by Charge Type from the "More Filter" options OR only selecting those similar charge types from the table. This will allow more actions to be available.

Bulk editing supports the following actions:

  • Edit Date

  • Edit Matter/Pre-Bill

  • Edit Member

  • Edit Description

  • Edit Bill Rate (Only Time Entries)

  • Edit Actual/Adjusted Hours (Only Time Entries)

  • Edit Total Amount (Only Fixed Fees And Expenses)

  • Edit LEDES Codes (When LEDES Enabled For Firm)

  • Recalculate Bill Rate (Only Time Entries)

  • Bulk Download Attachments (Only Expenses With Attachments)

  • Remove From Pre-Bill

  • Delete

Once you've selected an action from "Bulk Actions", then enter the value in the pop up window and click "Save".

You should see the items successfully updated in the table. You may need to refresh the page to view updates.
