What Is The ATM (Automated Time Manager) in ZenCase?

ZenCase will automatically suggested a time entry for actual work done or attended meetings for client and matter based billing. When your firm administrator enables ATM (Automated Time Manager) for your firm, your members will no longer lose time on daily tasks working on a case.

There are many types of automated suggestion actions that are tracked and will automatically create a timecard suggestion:

  • Emails Sent

  • Calendar Events Completed

  • Tasks Marked Completed

  • Documents Merged

  • Document Blueprints Created

  • Document Blueprints Updated

  • Memos Created

  • Memos Updated

Your firm members can view all of their automated timecard suggestions from the Time & Expenses > ATM tab page.

Please Note: Automated Time Suggestions are stored for 90 days per member, so be sure to check your time regularly.

Try it out now! Here are a few options which will trigger an automated timecard suggestion.

Email Sent Creates Suggestions

  • From the left navigation bar, select "Mail" link.

  • Click on "New Message" button.

  • Enter email or name in the "Recipients" field.

  • Enter your email message in "Body" field.

  • Click "Send" button.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any sent emails. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Task Completed Creates Suggestions

  • From the left navigation bar, select "Tasks" link.

  • Search or filter tasks.

  • Click on "Status" field in Tasks table for a task.

  • Select "Completed" option in dropdown.

  • Verify the status was updated for your task.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any tasks marked as completed. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Document Merged Creates Suggestions

  • From the left navigation bar, select "Matters" link.

  • Search or filter matters.

  • Select matter name from the list.

  • You will be redirected to the Matter details page.

  • Click on the "Create A Document" button in the top right of the page.
    โ€‹Note: Your account should be integrated with Box or NetDocuments.

  • Select a document from the list.

  • Click on "Create" button.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any merged documents. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Document Blueprint Created Creates Suggestions

  • From the left navigation bar, select "Document Blueprints" link.

  • Click on "Add Document Blueprint" button.

  • Click on "Choose File" button and select a file to upload.

  • Click on "Save" button.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any created document blueprints. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Document Blueprint Updated Creates Suggestions

  • From the left navigation bar, select "Document Blueprints" link.

  • Click on "Edit" button from the Actions column in the table.

  • Edit document name.

  • Upload a new document.

  • Edit matter type.

  • Edit description.

  • Click on 'Save" button.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any updated document blueprints. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Memo Created Creates Suggestions

  • From the left navigation bar, select "Matters" link.

  • Search or filter matters.

  • Select matter name from the list.

  • You will be redirected to the Matter details page.

  • Click on "Memos" tab.

  • Click on "Add Memo" button.

  • Enter date.

  • Link tags.

  • Fill note text.

  • Click on "Save" button

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any created memos. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Memo Updated Creates Suggestions

  • From the left navigation bar, select "Matters" link.

  • Search or filter matters.

  • Select matter name from the list.

  • You will be redirected to the Matter details page.

  • Click on "Memos" tab.

  • Click on a memo name to select one.

  • Edit date.

  • Edit tags.

  • Edit note text.

  • Click on "Save" button.

  • Verify "Add Time Suggestion" modal displays if your firm has configured the "Popup on creation" option. Otherwise, your suggestion may have been created in the background if ATM is enabled for your firm.

  • If a timecard suggestion form pops up after your performed the action, then you can update any details and then you can choose from 2 options:

    • Click on "Save" to save the suggestions for adding to billing later.

    • Click "Add to Billing" to save and add the suggestion to billing now.

You have successfully created a suggestion for any updated memos. You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.

Calendar Event Completed Creates Suggestions

When your firm members are connected and integrated in ZenCase with Microsoft Outlook and ATM is enabled for the firm, then any calendar event that has been completed (the date and time has passed), then an automated time suggestion should automatically be created for your firm member.

You can view all of your ATM time suggestions from the Time & Expenses > ATM tab page in the Suggestions table and calendar.
