How To Send Email For Invoice Overdue Reminder In ZenCase

Overview

When your invoice is overdue, you have two options to send your clients an overdue reminder invoice:

  • Create a billing statement PDF that will allow different display options to show charges, invoices, and/or payments for open invoices that have not been fully paid.

  • Send an Email Overdue Reminder for the invoice

The simplest option would be to send an email overdue reminder for the invoice.

How To Send Email For Invoice Overdue Reminder

  • Go to the Invoices list page by clicking on the "Invoice" button in the left navigation bar.

  • On the Invoices list page, click the "All Filters" button.

  • In the right panel pop up window, you will see all the filters you can apply.

  • In the Overdue Days selection dropdown, choose "Overdue" or another option.

  • In the top of the right panel pop up window, click "Apply Filters".

  • You should now see a list of all invoices that are overdue and not fully paid.

  • In the Action column for a row item, click the "..." button.

  • Click "Email Overdue Reminder".

  • A new pop up will appear to send invoice overdue reminder email to client.

  • Select the Summary Type:

    • None

    • Client Summary

    • Matter Summary

    • Invoice Summary

  • Select or add an email address for the recipient.

  • Click "Send".

You have successfully sent an invoice overdue reminder email to the client.

Note: You should send a test email to yourself to view the different summary type options and choose the preferred summary before sending to the client.

View Sent Email History

Once you have sent an invoice email overdue reminder, you can view the status of when the email was sent, delivered, and read by the client.

  • Go to the Invoices list page by clicking on the "Invoice" button in the left navigation bar.

  • On the Invoices list page, click the "All Filters" button.

  • In the right panel pop up window, you will see all the filters you can apply.

  • In the Overdue Days selection dropdown, choose "Overdue" or another option.

  • In the top of the right panel pop up window, click "Apply Filters".

  • You should now see a list of all invoices that are overdue and not fully paid.

  • In the Action column for a row item, click the "..." button.

  • Click "View Email History".

  • A new pop up will appear to show you all the emails that have been sent with the Sent At, Delivered At, and Read At dates.

    • Note: A red clock icon will appear next to the date under the "Sent At" column to distinguish between email overdue reminders vs regular invoice emails.

You should now be able to see when an invoice overdue reminder email has been sent to the client and when they have read the email.
