ZeroTek-ConnectWise PSA integration guide

The ZeroTek integration with ConnectWise PSA lets MSPs automate ZeroTek's billing for Okta licenses against existing ConnectWise PSA agreements. With the integration, you can map ZeroTek product SKUs to ConnectWise PSA catalog products, and ZeroTek customers to ConnectWise PSA companies and agreements. Once configured, synchronization between the two systems runs automatically on ZeroTek's billing schedule, or can be triggered manually at any time.

Setting up the integration

Setup requires two procedures, completed in order:

The integration activates automatically when setup is complete. To disable or re-enable it after the fact, see Activate or deactivate the ConnectWise PSA integration.

Synchronization

ZeroTek automatically synchronizes with ConnectWise PSA on the 15th of every month. Each sync adds the mapped ZeroTek product SKU if it is missing in ConnectWise PSA, updates the number of users consuming each mapped SKU, and removes mapped SKUs that ZeroTek users are no longer consuming.

You can also trigger a sync manually — either for all customers at once, or for a single customer. When syncing manually, you choose the billing period to sync:

  • Current Usage — usage since the last automated sync (15th of each month)

  • ZeroTek's Last Billing Period Usage — usage for the full billing period (16th of the previous month to the 15th of the current month)

Email notifications

ZeroTek notifies Administrator and Billing users by email about synchronization results and configuration issues:

  • Synchronization outcome — sent after every sync (manual or automated) with a success or failure result

  • Agreement end date approaching — sent after a sync if a customer's mapped agreement is within 30 days of its end date

  • ZeroTek SKU is not mapped — sent daily when a synced customer is using a ZeroTek SKU that isn't mapped in ConnectWise PSA, until the issue is resolved

Synchronization log

Detailed results for each synchronization are available in ZeroTek under ConnectWise PSA > Billing Automation. The Activity tab shows quantities updated, agreement details, and error messages for any failed synchronizations.
