Crew Configuration

Crews help organize scheduling, structure clock-ins, and maintain field accountability while grouping labor accurately for job costing. Proper setup ensures clear oversight, efficient workforce management, and accurate cost tracking.

The Crews tab allows you to group employees into working teams for better scheduling, time tracking, and job costing.

Crews are essential for:

  • Organizing field operations

  • Managing clock-ins

  • Assigning work efficiently

  • Tracking labor costs accurately

A properly configured crew ensures:

  • Clear accountability on-site

  • Efficient workforce management

  • Accurate labor cost allocation in job costing

To access, go to Team from the left menu and click on the Crews tab


Crews List View

This list displays all your existing crews with the following columns:

  • Crew Name (e.g., Alex Crew, Jake’s Crew)

  • Active Toggle

    • Enable/disable crews without deleting

    • Useful for seasonal teams

    • Active: Available for scheduling and assignments

    • Inactive: Hidden from operations

  • Color

  • Crew Leader (Foreman)

  • Crew Members

  • Actions (3-dot menu for edit)


Adding a New Crew

  • Click the “Add Crew” button

  • Fill in all required details (explained below)

  • Click Save / Update Crew

Crew Configuration

1. Basic Information

  • Crew Name: Unique identifier used across scheduling and projects

  • Crew Foreman: Primary on-site supervisor who will be responsible for crew accountability

  • Crew Members:

    • Assign employees to the crew

    • Can be added or removed anytime

  • Project Manager

    • Office-based person responsible for:

      • Budget

      • Performance

      • Overall project execution

2. Clock-In Configuration

Defines how crew members log their working hours.

  • Each Employee Individually

    • Every employee clocks in separately

    • Provides higher accountability

  • Foreman Clocks In Entire Crew

    • Foreman logs time for all members

    • Simplifies field operations

3. Working Days

Select working days for the job (SU–SA)

  • Affects:

    • Scheduling

    • Labor modeling

    • Workforce planning

4. Working Hours

  • Define the daily clock-in and clock-out time

    • Start time

    • End time

  • Used For

    • Time tracking

    • Payroll calculations

    • Job costing

5. Lunch Break

  • Select break duration

  • Deducts non-working time from total hours

  • Prevents inflated labor costs

6. Color Coding

System Color

  • Used internally in Zevbit dashboards

  • Helps quickly identify crews

Google Calendar Color

  • Used when syncing schedules externally

  • Makes crews easy to identify in Google Calendar


Editing a Crew

  • Click the three dots (⋯) next to a crew

  • Select Edit

  • This will open the crew configuration panel, where you can update all settings.

  • After making changes, click Update Crew
