Email Templates: Managing System Email Templates

Overview

The Email Templates section allows administrators to manage and customize the email messages sent by the platform. These templates control the content and formatting of automated emails sent to users or customers.

By editing email templates, companies can ensure their communications follow consistent branding, tone, and messaging.

Email templates are commonly used for system notifications, automated messages, and other platform-generated communications.

Navigate to the Settings page from the left-hand menu and select the Emails tab.

Here, you’ll see a list of all available email templates, each linked to a category.

Understanding the Email List

  • Each template is displayed with its category, toggle status (enabled or disabled), and an action icon for editing.

  • You can use the search bar to quickly find a specific template.

  • In the category column, a dropdown allows you to reassign the template to a different category.

Adding New Email Templates

  • You can create new templates by clicking the "Add Email Template" button.

  • When adding a template, you specify the

    • Template name

    • Category

    • Subject line

    • Logo position

    • Email body

    • Signature

  • You can use shortcodes by typing "@" (dynamic placeholders) like company name, user name, project name, etc., to personalize your email.

  • Click on the Save button

Enabling and Disabling Templates

  • Once the template is added, it will be visible in the template list.

  • Only one template can be active per category. Enabling a new template will automatically disable the previous one.

  • Enabled templates cannot be deleted; only disabled templates can be removed.

Editing Templates

  • To edit a template, click the pencil icon in the list.

  • You will return to the same template form, where you can modify the

    • Name

    • Category

    • Subject

    • Logo position

    • Body

    • Signature.

  • After editing, click "Update" or use "Preview" to check your updated template.

Best Practices

  • Ensure each category has only one active template to avoid confusion.

  • Leverage shortcodes for dynamic personalization.

  • Regularly review active templates and update them as needed to keep customer communications relevant.

By customizing email templates, you ensure your business sends professional, consistent, and personalized messages across all client interactions.
