Status Settings: Managing Project Statuses

Overview

The Status tab in the Settings page allows you to manage and customize statuses for leads, estimates, and projects. Each status defines a step in your workflow and can be used to track progress or categorize work.

Go to the Settings page from the left menu --> select the Status tab.

By default, the Lead Status section will be displayed first.

Lead Status Management

  • The Lead Status section displays a list of all lead statuses.

  • The columns include:

    • Status Name

    • Created Date

    • Created By (username from the team or master admin)

    • Colors

    • Actions (Edit or Delete)

  • Users can drag and drop statuses to reorder them, and the order will update automatically in the CRM.

  • To add a new lead status, click the "Add" button.

    • A pop-up will prompt you to enter the status name and select a color (via color picker or hex code).

  • By clicking the pencil icon, existing statuses can be edited (name or color) or deleted, but only critical statuses (e.g., "New Lead" and "Scheduled") cannot be deleted.

  • These statuses will always appear in the CRM page to manage leads (Not converted to estimate yet).

Estimate Status Management

  • In the Estimate Status section, you will see a list of all estimate statuses

  • The layout is similar, with columns for

    • Name

    • Created Date

    • Created by

    • Color

    • Actions

  • Click "Add" to create a new status by entering the status name and selecting a color

  • Same as lead statuses, some defaults (e.g., "Need to Write Estimate," "Estimate Sent") cannot be deleted, only edited.

  • These statuses will always appear in the Estimate page to manage the estimate.

Project Status Management

  • The Project Status section also follows the same structure.

  • Users can add, edit, and delete any project status as needed (no restrictions).

  • These statuses will be visible in the project details when accessed from the Estimates page.

  • Estimate and project statuses are visible only for projects that have been started.

Best Practices

  • Use lead statuses to track lead progress consistently.

  • Ensure only one estimate status is active in each workflow category to avoid confusion.

  • Customize project statuses freely to match your business processes.

By organizing statuses, you align your CRM with your workflow, ensuring clear progress tracking from lead to project completion.
