Understanding Change Orders

In ZevBit, a Change Order allows you to update the original estimate for a project after it has already been signed.

This is used when the scope, pricing, or requirements of a project change and the original agreement needs to be adjusted.

What a Change Order Does

A Change Order modifies the underlying estimate, which is the foundation of the project’s financial structure.

Invoices in ZevBit can be derived from the estimate and its payment terms if not added manually. When a Change Order is created:

  • The total project value

  • The remaining balance

  • Future invoices

When to Use a Change Order

Access the Change Order option from the project to update the estimate

Change Orders are typically used when:

  • Additional work is added to the project

  • Project scope changes

  • Pricing needs to be adjusted

  • Materials or services are modified

Instead of editing invoices directly, changes should be made at the estimate level to keep financial data consistent.

Note: After clicking the “Change Order” button, the system directs you to the "Estimate" tab to modify the existing estimate/proposal. Once the changes are complete, you can send the new proposal, with the updates included, to your customer for approval and signature.

Maintaining Financial Accuracy

Using Change Orders helps maintain a clear and accurate financial record by ensuring that:

  • All billing reflects the approved scope of work

  • Changes are documented as part of the project history

  • Customers receive updated and consistent information

This avoids discrepancies between what was agreed upon and what is billed.

This ensures that both your team and the customer are always aligned on the latest project details.
