Introduction

The Teams module in Zevbit is where you define and manage your entire workforce structure. It brings together employees, crews, roles, and subcontractors into one centralized place, allowing you to control who is doing the work and how that work is organized.

This module serves as the operational foundation of the platform, influencing how your business functions across scheduling, job costing, time tracking, and project execution.


Access & Permissions

  • By default, Master Admin and Office/Admin roles have access to the Teams module

  • Access can also be granted to other employees by enabling permissions in the employee settings


What the Teams Module Is Used For

With this module, you can:

  • Add and manage employees

  • Assign roles and permissions

  • Organize employees into crews

  • Define crew leaders (Foremen)

  • Manage subcontractors working on projects

It also controls how users interact with the system:

  • Roles define what users can access

  • Employee setup determines how labor is tracked and reported


Workforce Structure in Zevbit

Zevbit organizes your workforce into four key components:

1. Employees

  • Represent individuals working in your company

  • Can be:

    • Active system users

    • Or tracked for operational/payroll purposes only


2. Crews

  • Groups of employees working together

  • Help assign labor efficiently across jobs

  • Typically led by a Foreman (crew leader)


3. Roles

  • Define position in the company and system permissions

  • Control what each user can:

    • View

    • Access

    • Modify

You can create custom roles based on your company’s needs


4. Subcontractors

  • External companies or individuals working on projects

  • Not part of your internal team

  • Still tracked for:

    • Job costing

    • Performance

    • Expense management


How Teams Connect to Other Modules

The Teams module is deeply integrated with the rest of ZevBit:

  • CRM & Projects: Assign employees to clients and projects

  • Schedule: Crews and employees are assigned to tasks and events

  • Estimates: Crew size and labor roles impact calculations

  • Timesheets: Employee hours are tracked based on assignments

  • Job Costing:

    • Labor cost is calculated using employee roles, pay rates, and hours

    • Subcontractors contribute to cost tracking

  • Expenses: Subcontractor and labor-related expenses are linked to the team structure


Pay Period Configuration

The Teams module also includes company pay period settings, which define how time and payroll cycles are structured.

This impacts:

  • Timesheet tracking

  • Overtime calculations

  • Payroll reporting

Setting this correctly ensures consistency across all labor-related processes.


Getting Started with Teams

To set up your workforce effectively:

  1. Add employees and assign roles

  2. Create crews and assign team members

  3. Define crew leaders (Foremen)

  4. Add subcontractors if your projects involve external work
