Step 7: Time Tracking & Timesheets — Full Transcription

So in this video we are going to be jumping in and covering exactly how time tracking and time sheets

[00:00:07]

works within ZEVBIT.

The first thing we're going to do here to start out is navigate to your team section here in

[00:00:26]

in the left sidebar of ZEVBIT.

[00:00:29]

So go to the team section and the first thing we have to do to set up the time tracking is

[00:00:35]

create your employees in the system and your crews.

[00:00:39]

Okay, so first things first

[00:00:43]

if you haven't added your employees here yet, make sure you add them. Click add employee and

[00:00:48]

you can choose how you would want them to be added to the system.

[00:00:52]

So ZEVBIT allows you to do two different ways of clocking in and out.

If we go here to a crew and we add a new crew

[00:01:02]

you can see there is a setting for how this how should this crew be clocking in. Either each employee

[00:01:09]

individually clocks in and out or the foreman clocks in the entire crew.

[00:01:14]

Right, so you have this option here. If the foreman clocks in the entire crew if this is selected this option here

[00:01:21]

then when you go to add the employees

[00:01:25]

only the foreman needs to be invited.

[00:01:29]

Okay, where the rest of the crew members can just be added to the system.

[00:01:35]

All right, because they don't need to have their own login to clock in since the foreman is doing it for their whole crew.

[00:01:42]

So first things first decide if you want each person to clock in themself

[00:01:46]

or if you want the foreman to clock it in for the entire crew.

[00:01:50]

Once you decide that create your employees here

[00:01:54]

depending on how you select who's clocking in who then you will select whether that person is invited or not.

[00:02:01]

If they're just being added to the system the foreman can clock them in you can schedule them. Everything else is the same.

[00:02:07]

They just don't have their own login into the app.

[00:02:10]

If you click yes invite this employee as a user then they will have their own login to the app.

[00:02:15]

If you select this option, it'll also notify you about

[00:02:19]

the invited user seat.

[00:02:21]

All right, so we do give some free seats in our plans.

But there are some free seats based on which tier you're on. So it's this is going to show to everyone and

Go ahead and click confirm and

here you can put in an employee's information. So let's say we're adding a foreman test foreman.

[00:02:51]

The role is going to be foreman. The email is required here, right?

[00:02:57]

So I'm just going to put in a random email.

[00:03:01]

And then the pay.

[00:03:03]

So you can put in their hourly rate here, and if they're not hourly then you can put salary.

[00:03:10]

You can also select if they make overtime.

[00:03:13]

Time and a half over 40 hours a week or not and if they make any commission.

[00:03:20]

So hit next.

[00:03:21]

Then it'll have you bring you this page where you can select a crew.

[00:03:25]

Now if you don't have any crews created here yet, you can do that after. Just go ahead and save the employee.

And then you can create the crew after the fact.

[00:03:34]

All right.

[00:03:35]

Additionally, you can customize the start date and end date here for when this employee is working.

[00:03:41]

The days per week and the average hours per day. Based on this it's going to calculate your total hours work this season.

You also want to check this totals tab where you can confirm the unbillable hours per year and the overtime hours per year.

All right. So once you're happy with this stuff, you just click save.

If this employee is getting invited where they have their own login,

[00:04:05]

it'll bring you to this permissions page where you can choose what they have access to within the system.

[00:04:11]

All right.

[00:04:11]

So if they have access to CRM, can they only view their own clients or do they have access to all the clients company-wide?

[00:04:19]

A foreman doesn't need access to estimates or change orders.

[00:04:24]

Attachments, the foreman can view.

[00:04:26]

Invoicing, foreman doesn't need a view.

[00:04:29]

The schedule, you would select their own crew here.

[00:04:33]

And usually it would be on view mode, but if you want to give them edit mode, you can.

[00:04:38]

You can also select any subcontractors if you'd like.

[00:04:42]

Or you could turn this off.

[00:04:45]

And you can also see if they have access to expenses.

[00:04:48]

And then most importantly is timesheets and time tracking. So if they have access to timesheets right here,

[00:04:56]

then they will be able to view these users timesheets. By default, it's only going to be themself.

[00:05:02]

Okay, and

[00:05:04]

by default, they're not going to be able to edit anyone's timesheets.

[00:05:07]

All right.

[00:05:08]

If you want your foreman to be able to view the other people on his crew,

[00:05:11]

make sure you select them here so he can view those additional people.

[00:05:18]

All right.

[00:05:19]

Additionally, we have time tracking.

[00:05:22]

If this user is able to clock in and out or not, and if that's on, you can choose

[00:05:27]

if they can clock into line items or just the overall project, as

[00:05:32]

well as if they can clock into only projects that they're either assigned to or scheduled for, or

[00:05:38]

if they can clock into all the projects. So what I mean by this right here is

[00:05:44]

that when we go and create a new project, let me show you.

[00:05:49]

For example, all of these projects I have here, under assign to, I could assign this person to this project.

[00:05:56]

All right. So that would be one way of giving them access to it.

[00:05:59]

The second way is I could come into this project. I could go to the schedule and I could schedule this project.

[00:06:07]

It doesn't have to be for today. It can be for any day. I could schedule this project as a new job

[00:06:13]

for this specific crew.

[00:06:15]

And when I do that, now this automatically gets assigned to this crew, which therefore assigns it to this employee.

[00:06:23]

So if access to assigned projects is on here, then they only can clock into jobs that they've either been scheduled for or

[00:06:32]

they're assigned to.

[00:06:34]

Now, if you give them this access, access to all projects, then they can clock into any project within the system.

[00:06:41]

They don't need to be scheduled for any other project.

[00:06:44]

They don't need to be scheduled or assigned to it.

[00:06:48]

Require GPS location. You can turn that on or off.

[00:06:52]

We also have the option for the user to clock in and out of company shop tasks.

[00:06:57]

No projects. So if this is on, it basically only allows them to clock into company shop.

[00:07:03]

It doesn't allow them to clock into projects.

[00:07:06]

So you would want to keep this off for every single one of your field employees.

[00:07:10]

The only thing this would be on for would be like an office person

[00:07:14]

who's just clocking into company time and not into specific projects.

[00:07:20]

All right, we also give you a couple additional options, like if they have access to the progress widget, the visit notes, and

[00:07:26]

the crew notes. So you can turn those things on or off

[00:07:30]

depending on what access you want that employee to have.

[00:07:33]

You can also confirm these settings. Make sure budgeting is turned off for your formants and the rest of these items down here.

That they don't need access to. And then you'll just click confirm here and you can confirm the categories for this user.

[00:07:47]

So these are your meetings that they need on their calendar as a foreman. Maybe it's just like client walk-through and

[00:07:54]

you can do like on-site meeting, other

[00:07:57]

phone call, pickup payment, stuff like that. You can put whatever is applicable for that person.

[00:08:05]

Hit save.

[00:08:07]

And you can see employee is created successfully. Your employee will receive an email on his inbox and need to set password.

[00:08:13]

So they'll get an email, this new employee I just invited. It's going to be down here right now under test foreman.

[00:08:20]

They will get an email where they can accept the invitation and set up their password.

[00:08:27]

So that's gonna be how you get everyone set up and

then you are going to assign them to crews.

[00:08:48]

So you go to add crew.

[00:08:51]

Put in the crews name.

[00:08:53]

Select your crew foreman.

[00:08:55]

Select your crew members and

[00:08:57]

then you can choose right here if each individual employee is clocking in and out themselves or if the foreman is clocking in and out the

[00:09:05]

entire crew.

[00:09:07]

All right, so let's for now leave it.

If you can see this Jake's crew is currently set up to be each employee

[00:09:15]

individually. I'm going to show you guys that first and then I will show you how it looks when the foreman does it for the

[00:09:21]

whole crew.

[00:09:24]

So first things first when we go to time tracking here as your foreman, this is what they're going to see at first.

[00:09:30]

They're going to see a clock in page.

[00:09:32]

Anything that's on their schedule for today and

[00:09:36]

additional tasks here. Now with that being said,

[00:09:40]

you can always update this based on what's scheduled. So if we come in here to some of my approved projects,

[00:09:47]

let's say this John Smith job and

[00:09:51]

this job ended up getting scheduled for today. Let's say so I drag out the days hit new job.

[00:09:59]

Select Jake's crew and save that.

[00:10:08]

You can see in Jake's crew this is now enabled here and now if we go back here

[00:10:16]

to time tracking and just refresh this page.

[00:10:21]

You'll see that this now shows up here. So that's how that's going to work.

[00:10:28]

It'll also show you any jobs that match your current location.

[00:10:32]

Okay, so that's also another option as well.

[00:10:37]

But essentially how it works is your employee is going to come in the morning hit clock in.

[00:10:42]

It's going to load the projects here scheduled for today.

[00:10:46]

Company shop tasks, upcoming projects, so they can see the jobs they have and they can just click on the job

[00:10:53]

to clock into that job.

[00:10:56]

All right, so it takes a second longer here on the computer on the mobile app. It's a tiny bit faster.

[00:11:02]

Essentially clocks them into this job. Now they're clocked in their time is tracking.

[00:11:07]

They have access to photos and files here where they can click all photos and files and from their phone

[00:11:13]

they can view this design folder and they can also upload any

[00:11:18]

take a photo or upload any photos as well.

[00:11:21]

All right, so that's gonna be the project photos and files side

[00:11:25]

right here. You also have project progress if you'd like to show them how much progress they've made on this job.

[00:11:32]

From

[00:11:34]

actual versus estimated you can. This will fill up the bar as time is being clocked into this job.

[00:11:42]

We also have visit notes. Your employees can use the voice to type

[00:11:47]

feature on their phones for this. Just write

[00:11:51]

talk out a voice note here of what was worked on today.

[00:11:55]

They could also attach any photos or files videos to this note and

[00:12:00]

you'll have a full history of all the notes that have been recorded.

[00:12:05]

In addition to that we also give crew notes and instructions that way your employees can see

[00:12:09]

what was on that estimate. What was the crew notes? What were the materials that we needed?

[00:12:15]

They don't see any cost here just quantities.

[00:12:18]

Okay, you can also show them estimated labor hours if you'd like

[00:12:23]

for how long you were projecting this to take.

[00:12:26]

So that's kind of what it looks like when you're clocked in inside of a project. If we go back here to home or we

[00:12:32]

click on this home in the bottom

[00:12:34]

you'll see that we're currently clocked into this job.

[00:12:37]

We can always go and switch jobs at any point. Clock in and it'll prompt us to switch the project.

[00:12:44]

In addition to that we can also always

[00:12:47]

go to company shop tasks.

[00:12:50]

So if your employees clock in at the shop in the morning

[00:12:53]

then they would probably clock into this at the beginning of the day and then once they leave for the job site

[00:12:57]

they would switch to the job.

[00:13:02]

In addition to that we also have

[00:13:05]

the ability to search for other projects.

[00:13:07]

So as you can see here at the bottom if I go to search for a project

[00:13:10]

then it'll give me access to the full list of projects here and I could search for the one that I need.

[00:13:17]

In addition to that we also have this start break button in the bottom. This will give you an option to start the break.

[00:13:24]

So if you click start break here, it's going to put them into break mode as you can see here now

[00:13:30]

we're tracking our break mode. We're not clocked in anymore.

[00:13:33]

When we're done with this we could end the break and we can choose to work on the same job or on a different job.

[00:13:42]

So that's kind of what the time tracking app is going to look like. A few different options for you guys there.

[00:13:48]

The other thing I'm going to show you guys is clocking out. At the end of the day when the employees ready to clock out

[00:13:54]

they can click right here and

[00:13:56]

confirm the clock out.

[00:14:00]

This

[00:14:03]

will clock the employee out of the job and also give an option to add any visit notes or photos.

[00:14:09]

This employee is now clocked out as you can see here.

[00:14:13]

So now that we've done that let's switch over to what it looks like for a foreman doing it.

[00:14:20]

So in our admin dashboard what we're going to do is click here to expand the left side, go to team,

[00:14:27]

go to crews.

[00:14:29]

We're going to switch this Jake's crew over to

[00:14:33]

where the foreman's clocking in the entire crew. That way you can see how that option works.

[00:14:40]

So as you can see I've switched it here, hit update crew.

[00:14:44]

And now if we come back here to time tracking and we just simply refresh this page

[00:14:50]

you

[00:14:55]

will see here that I am now in a foreman mode.

[00:15:00]

Okay, if I can go to team here that I can see the different team members that I have.

[00:15:05]

I'm going to go ahead and clock these three guys out.

[00:15:09]

And I'm just gonna

[00:15:12]

zero out this time here.

[00:15:14]

So

[00:15:19]

give me one moment here to save this clock out. All right now you can see everyone's clocked out.

[00:15:25]

Essentially how it'll work is when your employee, when your foreman comes here at the beginning of the day

[00:15:29]

they'll see the exact same thing. So they schedule a clock in, they'll hit clock in and

[00:15:35]

then they're going to choose the project here.

[00:15:38]

Like I said on the phone this is this is faster. It just takes a second longer on the computer.

[00:15:45]

And then they click on the job that they want and then they can confirm who they want to clock in.

[00:15:51]

So this is the difference. The foreman has this option where they can clock in their whole crew.

[00:15:56]

The other option skips this step. So maybe Matt showed up late. He's not here yet.

[00:16:01]

So I'm just going to clock in the rest of us.

[00:16:04]

So

[00:16:06]

as you can see we're all now all three clocked into this project. I have two new things.

[00:16:11]

I have a team section here where I can view and edit the team for this specific project. This is just on this project.

[00:16:19]

And I can also view the team down here in the bottom where I can see all of the projects and everything they've done today.

[00:16:28]

So let's say Matt shows up now. He's a couple minutes late. We now want to clock him in.

[00:16:33]

I now can clock in Matt either to the same project or to a different project.

[00:16:39]

So let's say he's working on the same project. Now all four of us are clocked in as you can see here.

[00:16:44]

But you can clearly see Matt has some less time than the rest of the crew.

[00:16:50]

If two of these guys need to leave halfway through you can select them and click switch and

[00:16:55]

you're able to switch them out to a different project. So that will give them access.

[00:17:01]

That'll clock them into that other project temp for that time.

[00:17:05]

So if I select this other test client here, you'll see these two guys are now switched to this job.

[00:17:11]

Where if we go back home

[00:17:13]

you'll see that it's now split two and two.

[00:17:16]

So two guys are on one job site. The other two guys are on the other job site as you can see here.

[00:17:23]

All right, so feel free to go to team to manage any of this stuff.

[00:17:27]

You can see these two are clocked into John Smith. These are clocked in the test client.

[00:17:32]

If you want to select everyone and put them on break you can do that.

[00:17:37]

If you want to switch them all to a different job switch them all to company shop tasks.

[00:17:42]

Clock them all in and out at once. Whatever you need to do you can do that here.

[00:17:47]

You can see that they're now all on break time. So some different options for you to manage all that.

[00:17:53]

Definitely is a powerful tool to track all the time and allow your foreman to do it as well.

Then that will kind of feed in here to the timesheets.

So I'm going to go ahead and show you guys timesheets on the desktop mode.

[00:18:08]

Here in timesheets you can see we see each employee. We see their regular hours for the week, their overtime hours for the week,

[00:18:15]

break time, project total, all that stuff.

[00:18:18]

You can click right here where it says weekly if you need to switch it to buy every two weeks or any other format.

[00:18:24]

And then you can click into an employee here

[00:18:28]

to see each day of the week.

[00:18:30]

When do they clock in when they clock out and then you can also click into a specific

[00:18:36]

day of the week to view certain

[00:18:39]

GPS coordinate location. So I don't have

[00:18:43]

any examples here because this was just a test account, but let me see if I

[00:18:50]

can find one for you guys real quick.

[00:18:55]

Hold on a moment here.

All right, so as you can see

[00:19:06]

we do get some GPS location here.

[00:19:09]

Just dragging this in.

[00:19:12]

So yeah, as you can see when you click into a specific day

[00:19:15]

you're going to get the

[00:19:17]

actual actions for that day. When do they clock in, when do they clock out, when do they start break, when do they switch jobs,

[00:19:23]

all that stuff. And in addition you'll get some GPS location here for

[00:19:29]

where they were when they did that.

[00:19:31]

So I can see for both of these actions they were here at this location,

[00:19:37]

but you would be able to see more detail if they're going to multiple jobs throughout the day or

[00:19:42]

where they were when they clocked in and out. So it does give you GPS location for that.

[00:19:49]

So that's how all that works. If we go back here

[00:19:53]

you can see all the different time here. You can export this time as well into a CSV file and

[00:20:00]

in addition to that you can also filter it.

[00:20:02]

So if you need to filter it to certain jobs

[00:20:04]

you can say it must match these jobs or it must match any project except for these jobs.

[00:20:11]

Okay, so those are some different options with time tracking and timesheets.
