Documents & Contracts sits under the Payments section of ZipLeads and lets you build, send and track legally binding agreements with e-signatures, payment collection and full audit tracking. Use this guide to find existing agreements, build a reusable template and send a contract to a recipient for signing.
Before you start
Access to a ZipLeads sub-account with the Payments section enabled
The agreement wording ready, either as text to paste in or as an existing PDF
Contact records for the people who need to sign
1. Open all documents and contracts
Go to Payments in the left menu.
From the dropdown, choose Documents & Contracts to open the dashboard.
This view shows every draft, sent, completed or archived document in one place.
2. Filter the list by date
Use the Start Date and End Date fields at the top left of the dashboard to narrow the results to a date range.
Tip: Handy for tracking contracts created during a specific billing cycle, or reviewing proposals sent in a certain time frame.
3. Track progress using the status tabs
Switch between the tabs across the top of the list: Draft, Waiting for others, Completed, Payments and Archived.
Each row shows the title, status, customer, date modified and value, so you can see at a glance which agreements are active, which need follow up and which are complete.
Tip: Check Waiting for others to see which clients still need to sign.
4. Use the row actions on an existing document
Click the three dot menu at the right of any document row for quick actions: View, Clone, Mark as Completed, Download PDF and Convert to Template
5. Start a new document
Click + New at the top right of the dashboard and pick one of the three options:
New Document, to start from scratch in the editor
Upload Existing PDF, to import a PDF and overlay signature or text fields
Import from Template Library, to choose an existing template
6. Create a reusable template
Select Templates from the top menu of the Documents & Contracts area.
Click + New, then choose either new template or upload existing PDF.
Tip: Uploading a PDF is best when you already have the agreement set up as a document.
7. Add your agreement wording
In the editor, paste in your agreement text or type it out manually if you are starting fresh. Give the template a name in the title field at the top.
8. Insert fillable fields and assign a signer
Use the toolbar at the top left of the editor to insert fillable fields such as signature, text field, date, initials and checkbox.
Text fields can be linked to contact fields so data such as full name is pre-filled.
After adding a field, for example a signature, select it and use the Properties panel on the right. Set "To be signed by" to assign the field to the correct signer, including a specific staff member in your sub-account.
9. Manage pages and add variables
Add, duplicate or remove pages as needed for multi-page documents, and insert dynamic placeholders such as created date or reference number. Variables populate automatically with the correct data when the document is sent.
10. Drag in content blocks
Open the Content Library from the editor toolbar, then drag and drop a content block onto your document. Use the Custom and Featured tabs, or the search box, to find a block.
11. Add payment options
Add payment options directly inside the contract. Choose between one time or recurring billing, and decide whether to enable direct payment upon signing or send invoices automatically.
12. Save the template
Click Save at the top right of the editor. The template now appears in the Documents & Contracts Templates list.
13. Create a contract from the template
From the templates list, click the three dot menu on the template row and choose Use Template. The template opens as a new contract ready to send.
14. Add the recipients
In the Recipients panel on the left, search for and select the contact under Primary Client.
Add more recipients if several people need to sign, and turn on Set signing order if they must sign one after the other.
You can assign each recipient the specific fields they need to complete.
Tip: Recipients define who needs to sign or receive the document.
15. Additional document options
Click the three dot menu at the top right of the editor for extra options: Mark as Completed, Download PDF, Convert to Template, Add Expiry or Delete.
Watch out: Delete removes the document permanently, so check before you use it.
16. Send the contract
Click Send at the top right, then choose send via email or share via link. If you share a link, click Generate Links and copy the individual link for each recipient.
Watch out: Each recipient gets their own link, so only send a link to the intended recipient.
17. Track the signature
Return to the Documents & Contracts dashboard. The contract sits under Waiting for others until it is signed, then moves to Completed.
Notes
Documents & Contracts also supports automated triggers and full audit tracking on each agreement.
