This video covers how to filter your ZipLeads contacts by opportunity pipeline stage and opportunity status, select the filtered list, and send them a bulk SMS. Use this when you want to message a specific segment of your database, such as abandoned leads sitting in a particular pipeline stage.
Before you start
Access to the Contacts area of your ZipLeads account
At least one pipeline with stages and opportunities set up
A phone number connected to the account (MMS-capable if you want to send images or emojis)
Consent from the contacts you are messaging
1. Open the Contacts tab
Click Contacts in the left-hand side menu. By default this shows every contact in your database.
2. Open Advanced filters
Click Advanced filters at the top left of the contacts table. The filter menu opens on the right-hand side of the screen, with a search field and a list of filter categories.
3. Filter by pipeline stage
In the filter panel:
Search for and select the Opportunity Stage filter.
Choose the pipeline you want to filter from (for example 'Phone Call Pipeline').
Once you select a pipeline, the Stage field appears
Select a stage from your chosen pipeline (e.g., 'Lead')
Set the condition to 'Is' or 'Is not' (i.e., Stage 'is' Lead)
Click Apply.
The contacts list now shows only the people sitting in that stage of the pipleine.
4. Add a nested filter for opportunity status
To narrow the same group further:
Click Add nested filter underneath your stage filter. This creates an AND condition, so both filters must be met.
Choose the 'Opportunity status' filter.
Set the condition to 'Is' (the options are 'is', 'is not', 'is not empty' and 'is empty')
Select your opportunity status. In this example we will be filtering for contacts who have been had their Opportunity status marked as Abandoned.
Click Apply.
You now see only contacts in the Lead stage who are also marked as abandoned.
5. Add a second filter group with Add Filter
To include another stage as well, click Add Filter (not Add nested filter). This creates an OR condition, so a contact qualifies if either the first group or the second group is met.
Watch out: Add Filter creates an OR condition, while Add nested filter creates an AND condition. Choose carefully or your list will return the wrong contacts.
In the new group, select the Opportunity Pipeline filter and choose the same pipeline.
Set the stage to Booked Phone Call.
Under the second stage filter, click Add nested filter again
Set the Opportunity status to Abandoned
Then click Apply.
Your list now shows contacts in the Lead stage with a status of Abandoned, or contacts in the Booked Phone Call stage with a status of Abandoned.
Tip: Repeat this pattern as many times as you need to build up the segment.
7. Save the filters as a smart list (optional)
Save the segment so you can reuse it. Give the list a name, for example Abandoned Leads + booked calls, and create the smart list. It then appears as a tab next to All, so you can toggle straight to it for future messages.
8. Select all the filtered contacts
Tick the checkbox in the table header to select the contacts. This only selects the contacts on the current page, so also click the link to select all contacts across every page.
Watch out: If you only tick the header checkbox you will message the first 20 contacts on page one, not the whole filtered list.
9. Open the Bulk SMS window
In the action bar above the table, click More, then choose Send SMS. The Bulk SMS window opens showing the contacts you selected.
10. Name the action and choose the sending number
In the Bulk SMS window:
Type a name in Action name. This is what shows in the Bulk Action Statistics report, so describe what the SMS is about.
Choose the number to send from in the From phone number field.
11. Write your message
Either pick a saved conversation snippet from Pick an SMS template, or type your message directly in the SMS Message composer. Use the icons under the composer to insert custom values such as the contact's first name to personalise the message or a trigger link, for example a trackable link to your phone booking page.
Watch out: Images and emojis require an MMS-capable number and attract additional charges. We do not recommend using these in a Bulk SMS.
13. Choose how the messages are sent
Under Mode, pick one of:
Send all at once, which sends instantly to everybody selected.
Send at scheduled time, then pick the date and time.
Send in drip mode, then set the start date and time, the batch quantity, how often it repeats, the days of the week to send on, and the daily start and stop times.
Tip: Drip mode is useful for very large databases and is also the mode recommended for clients using a myCRMSIM number.
14. Confirm consent and send
Tick the confirmation checkbox stating that everyone in the list has consented to hear from you, then click Send SMS. A Success popup confirms the send is in progress or scheduled. Choose Dismiss, or Check progress to jump straight to Bulk Actions.
Watch out: Only send to contacts who have consented and whom you have contacted in the past years. Do not send a bulk SMS to a purchased third party list as will risk your ZipLeads number being flagged as 'spam'.
15. Track the send in Bulk Actions
Open the Bulk Actions tab at the top of the Contacts area. Your send appears in the list with its status (for example Queued, then Complete), the user who scheduled it, the created and completed times, and a statistics icon.
16. Check the statistics
Click the statistics icon on the row to see who the message was sent to, how many are still pending, how many were sent or delivered, plus any errors or skipped contacts.
17. Manage a scheduled send
Click the three dots in the Actions column to View details, Pause, Cancel or Edit the send.
Watch out: Pause, Cancel and Edit only apply while the action is still scheduled and has not started sending.
