Overview

Internal Chat lets you message the other users in your account privately, right inside the Conversations module. It keeps team discussions in one place and makes it easier to work together. Unlike contact conversations, internal chats are only visible to the people taking part, so they stay private.

Inbox overview

In the left side of Conversations, you will see a panel that has two inboxes that help keep your communication organised:

1. Team Inbox

The Team Inbox shows conversations in your account, based on your access level.

  • Users with "Only Assigned Data" access (for example, standard users) will see all conversations where they are the contact owner or a follower.

  • Users with "All Access" (for example, admins) will see all conversations in your account.

This means users only see conversations that are relevant to them, while admins can still see everything.

2. My Inbox

My Inbox is your personal space for conversations that involve you directly. It has these folders:

  • Assigned to Me: Lists all conversations where you are the contact owner, so you can clearly see the conversations you're responsible for.

  • Internal Chat: Shows internal-only chats you're part of. These chats are private and made for team collaboration, separate from your customer conversations.

How to start an internal chat

  1. Open Conversations and click New. Select the Internal Chat option.

  2. Choose the users you want to add to the chat, then click Start Chat.

  3. You can send text messages, emojis and attachments in internal chats.

  4. To keep chats organised, you can add a subject by clicking the edit icon in the top centre panel. Once a subject is added, you can search for internal chats by subject, participant names or the last message sent.

Adding users to an existing internal chat

Open the internal chat and click Add Users in the right panel.

Select the team members you want to add and click Next. Choose whether they should be able to see the previous chat history. Then click Confirm. Please note: once users are added, they can't be removed from the chat.

Getting notified about internal chats

Go to Settings > My Profile > Notifications to manage your notifications. You can choose to receive:

  • Notifications for every message in internal chats you're part of.

  • Notifications only when you're added to a new internal chat.

Access and permissions

Create access

  • Any user with access to Conversations can create internal chats.

Participant access

  • Only users in your account can be added to internal chats.

View access

  • Only users added to an internal chat can see the conversation.

  • Other team members can't see internal chats unless they're added.

How this helps

  • All communication in one place: There's no need to use other apps like Slack or email for internal discussions. Everything stays in ZipLeads, so conversations are organised and easy to find.

  • Easy collaboration: Your team can talk instantly without leaving Conversations, which helps with quick decisions and better coordination.

  • Better context and visibility: Internal chats stay inside ZipLeads, so your team has the full picture when discussing leads, deals or support cases.

  • Efficient teamwork: Share updates, ask questions and plan, all in the same place where your customer conversations happen.

  • Stay notified and responsive: Get notifications for new internal messages, so you don't miss important updates while you're handling customer conversations.

Note:

  1. Internal Chat is built into ZipLeads and doesn't cost anything extra.
