Connect your ZipLeads workflows with ClickUp to create tasks, build spaces, folders and lists, and store AI-generated docs. You don't need any third-party tools. This guide explains what the integration is, its key benefits, how to set it up and some best practices. That way your CRM and project delivery stay in sync.

What are ClickUp actions and triggers in workflows?

ClickUp actions and triggers link ZipLeads automation to ClickUp's task and document platform. Triggers listen for events in ClickUp (like a new task or a status change) and can start ZipLeads workflows. Actions push data from ZipLeads into ClickUp (like creating a task, space or document). This two-way connection cuts down manual work and keeps client projects up to date in real time.

Key benefits of ClickUp actions and triggers

Knowing the outcomes helps you decide where to use the integration first. The benefits below focus on typical business and service workflows, where project delivery needs to mirror your CRM stages.

  • No double entry: Client and project details flow automatically between ZipLeads and ClickUp, so you make fewer manual updates.

  • Faster onboarding: Spaces, folders, lists and tasks are created the moment a deal reaches a key stage.

  • AI to docs: Generate content with ZipLeads' AI steps and save it straight to ClickUp Docs for review.

  • Cleaner handoffs: Comments and status updates live where your team does the work, which reduces miscommunication.

  • Fewer tools to manage: Replace many webhook and Zap automations with native workflow steps you can audit.

Prerequisites and permissions

A few account settings affect whether you can add ClickUp steps and how you're billed. Check these before you start building.

  • Access to Workflows and Integrations in your account.

  • A ClickUp user with permission to create and update items in the target workspace (actions follow ClickUp permissions).

  • Premium Features for Workflows may need to be turned on for your account before you can run premium actions and triggers. Contact the ZipLeads support team if you're not sure.

Connecting your ClickUp account

Connecting uses ClickUp's official OAuth sign-in. This lets ZipLeads receive events through webhooks and lets actions read and write using your permissions.

  1. In ZipLeads, open Automation → Workflows and add any ClickUp action or trigger.
→ If you're not connected yet, click Connect Now and sign in to ClickUp to approve access.
→ If you're already connected, the fields load straight away in the step.

  2. Another way: go to Settings → Integrations → ClickUp → Connect.

How to set up ClickUp actions and triggers

Use these general steps to connect your accounts, pick the right direction (trigger or action), map fields safely and check everything before you publish. You can adapt them to any pipeline stage or project template.

  1. Open a workflow
Go to Automation → Workflows and click + New Workflow (or open an existing one).

  2. Connect ClickUp
Add any ClickUp step to a workflow and click Connect Now, or go to Settings → Integrations → ClickUp → Connect to authorise through OAuth.

  3. Choose the direction
ClickUp → ZipLeads (Triggers): Start a ZipLeads workflow when something happens in ClickUp by adding a ClickUp trigger (e.g. New Task, Task Changes).

  4. ZipLeads → ClickUp (Actions): Do work in ClickUp from a ZipLeads workflow.
Add a ClickUp action (e.g. Create Task, Create List, Create New Document). Select the target Workspace/List (where needed) and map fields from ZipLeads (contact, opportunity or form values).

  5. Order, conditions and safety

    • Use If/Else filters to split by pipeline stage, service type or tag.

    • Add Wait steps where ClickUp items must exist before the next action (e.g. wait after Create List before creating tasks).

    • When creating lots of items, space out your actions to avoid hitting rate limits.

  6. Test and check

    • Trigger path: create a small test event in the ClickUp area you've filtered to.

    • Action path: run the workflow on a test record.

    • Review Run Logs / Enrollment History for inputs, outputs and returned IDs. Fix any mapping or permission issues.

  7. Publish and monitor

    • Click Publish in the workflow.

Common use cases

Use case 1: Create ClickUp tasks from ZipLeads form submissions

Goal: Turn ZipLeads form submissions into ClickUp tasks your team can act on.
Workflow setup:

  • Trigger: Form Submitted

  • Filter: Form Name = “Client Onboarding Form”

  • Actions: Create Task (ClickUp), Add Task Comment (ClickUp)

Example:
A client submits the onboarding form with their requirements → A task is created in the “Client Setup” list in ClickUp → A comment is added with the client's expectations.

Use case 2: Auto-generate AI-powered proposal documents

Goal: Automatically create personalised proposals, briefs or summaries when an opportunity changes stage. AI drafts the content and ClickUp stores the document.

Workflow setup:

  • Trigger: Opportunity Status Changed

  • Filter: Stage = “Proposal request” (or any relevant pipeline stage)

  • Actions:

    1. GPT powered by OpenAI → Generate the proposal content (e.g. a client-specific summary, deliverables and a pricing outline).

    2. Create New Document (ClickUp) → Save the AI-generated proposal in ClickUp in the “Sales Docs” folder.

Example:
A deal moves to the “Proposal Sent” stage → GPT writes a tailored proposal called “Proposal for {{contact.name}}” with scope, deliverables and pricing → A new ClickUp document is created automatically and shared with the sales team for review.

Use case 3: Auto-build project spaces based on opportunity type

Goal: Automatically set up organised project workspaces in ClickUp whenever a deal moves to a new stage, with tasks and notifications suited to the service type (Landing Page, SEO or Google Ads).

Workflow setup:

  • Trigger: Pipeline Stage Changed

  • Action: Create Space in ClickUp (named after the client or opportunity)

  • Condition branching:

    • Landing Page branch → If Opportunity Name = “Landing Page”

      • Create List: Landing Page Project

      • Create Task: “Design Landing Page”

      • Internal Notification to the assigned team

    • SEO branch → If Opportunity Name = “SEO”

      • Create List: SEO Setup

      • Create Task: “Keyword Research & Site Audit”

      • Internal Notification to the SEO team

    • Google Ads branch → If Opportunity Name = “Google_Ads”

      • Create List: Google Ads Campaign

      • Create Task: “Campaign Setup & Tracking”

      • Internal Notification to the Ads team

    • None branch → Ends the workflow if no conditions are met

Example:
A deal moves to the “Contract Signed” stage. If the opportunity is for SEO, a new ClickUp space called “[Client Name] - SEO Project” is created. Inside it, an SEO Setup list is created with a first task: Keyword Research & Site Audit. An internal notification goes to the SEO manager so the project can start straight away.

Frequently Asked Questions

Q: Which ClickUp plan do I need?
The integration works on free and paid ClickUp plans. Some features (like time tracking or some custom field features) may need a paid ClickUp plan.

Q: How many ClickUp workspaces can I connect?
Connect the ClickUp workspace that's relevant to your account. Actions and permissions follow that workspace's authorisation.

Q: Can I use dynamic due dates?
Yes. Use relative values like +7 days in the Due Date field.

Q: Where do I find errors?
Check Execution Logs & Enrollment History for each run's inputs, outputs and any error messages.

Q: Is this integration available to all ZipLeads users?
Yes. It's available to all accounts with access to workflows and integrations.

Q: How many workflows can I build with ClickUp?
ZipLeads doesn't limit the number of workflows. The ClickUp integration itself has no limits beyond ClickUp's API rate limits.

Q: Are these actions and triggers paid?
Yes. These are premium actions and are billed at the standard rates.

Q: How do I link a workflow to a contact when using triggers?
Triggers are contactless by default. This means they don't automatically link the workflow to a specific contact.

If you need to link the workflow to a contact, use the Find Contact action in the workflow. Pass the email address from the trigger response (if there is one) into the Find Contact action to find and link the right contact. If you need a new contact, use the create contact action instead.
