Push and pull data between ZipLeads and Notion without Zapier or webhooks. This guide shows you how the native Notion integration works inside Workflows. You can automate page creation, database updates, comments and more.
What is the Notion integration?
The Notion integration connects your ZipLeads workflows with your Notion workspace. You might manage internal documentation, client portals or project wikis in Notion. This integration lets Notion changes start your workflows, and lets your workflows take actions in Notion. That means less manual work and better visibility across your tools.
Why it matters
With this integration, marketers and small businesses can:
Automatically sync customer data into Notion databases
Create tasks, notes or updates based on CRM events
Build live, CRM-powered knowledge bases and content libraries
Key benefits of the Notion integration
Replace Zapier or n8n set-ups with one native connection and cut subscription costs.
Sync onboarding forms, appointment results or pipeline changes straight into structured Notion databases.
Create project wikis, proposals or SOP pages automatically as soon as deals move forward.
Two-way communication: start workflows from Notion edits, or update Notion from ZipLeads actions.
ZipLeads checks Notion every five minutes. This keeps Notion triggers responsive without overloading your workspace.
Triggers (Notion → ZipLeads)
These are Notion events that can start a workflow in ZipLeads:
Trigger Name | Description |
New Database Item | Fires when a new item is added to a Notion database |
Updated Database Item | Fires when an existing item is changed |
Updated Page | Fires when a Notion page is updated |
Note: All triggers rely on polling. ZipLeads checks Notion about every 5 minutes for changes and then processes any new data.
Actions (ZipLeads → Notion)
These are the Notion actions your ZipLeads workflows can run:
Action Name | Description |
Archive Database Item | Archives a selected database item in Notion |
Create Database Item | Adds a new item to a chosen database |
Add Content to Page | Adds content to the end of an existing Notion page |
Update Database Item | Updates the fields of an existing database item |
Retrieve a Page | Fetches a Notion page and its metadata |
Retrieve Block Children | Retrieves the child blocks under a Notion block (e.g. text, to-do, toggle) |
Find Database Item | Finds a specific database item using filters |
Get Page and Children | Retrieves a page along with all its nested blocks |
Find or Create Database Item | Finds an item, or creates it if it doesn't exist |
Add Comment | Posts a comment on a Notion page |

Get Page Comments | Retrieves all comments from a Notion page |
Find Page (By Title) | Searches for a page by its title |

Getting started with Notion
Search in Workflows: Open the ZipLeads workflow builder. Search for the Notion action or trigger you'd like to add.
Connect your account: If your Notion account is already connected, you'll see the configuration options straight away. If not, click Connect Now and complete the Notion authorisation steps (via OAuth).
Alternative method: Go to Settings → Integrations. Find Notion and connect your workspace.
Once you're connected, you can create, update and sync pages or database items directly from your workflows.
How Notion triggers work
Notion triggers use polling. Every 5 minutes, ZipLeads asks Notion whether anything has changed. If it finds a matching event (for example, a new database item or an updated page), it starts your workflow.
Set-up steps:
Choose a trigger (e.g. New Database Item).
Name your trigger and click Test Trigger.
ZipLeads retrieves metadata from Notion so you can map fields dynamically in later actions.
Use case 1: Create Notion docs from form submissions
Goal: Capture form submissions in Notion for project tracking or onboarding.
Workflow set-up:
Trigger: Form Submitted
Filter: Form Name = “Onboarding Form”
Actions:
Create Database Item (Notion)
Add Comment (Notion)
Example: A client submits the onboarding form → a new entry is created in the “Client Onboarding DB” in Notion → a welcome message is added as a comment.
Use case 2: Sync appointment outcomes to Notion logs
Goal: Keep a reliable meeting log in Notion.
Workflow set-up:
Trigger: Appointment Status Changed
Filter: Calendar = “Consultations”
Actions:
Update Database Item (Notion)
Add Content to Page (Notion)
Example: A lead misses their consultation → the matching database item is updated → follow-up notes are added to the page.
Use case 3: Auto-generate proposal pages
Goal: Create personalised proposal pages when an opportunity moves forward.
Workflow set-up:
Trigger: Pipeline Stage Changed
Filter: Pipeline stage = “Proposal”
Actions:
Create Page (Notion)
Add Content to Page
Add Comment
Example: A deal moves to the “Proposal” stage → a Notion page titled “Proposal for {{contact.name}}” is created with summary content and team mentions.
